What you will be doing
Reporting to the Ocean Freight Manager, the Ocean Export Coordinator will play a pivotal role in managing the end-to-end process of exporting goods via ocean freight, ensuring compliance with regulations and providing timely, accurate information to clients and related parties. Their duties include preparing and reviewing all export documentation, booking shipments with carriers, tracking cargo, and communicating with clients, shipping lines, and land carriers. - Manage ocean shipments from booking to delivery for both consolidated and full container loads
- Prepare shipping documents and ensure compliance with export regulations and customer requirements
- Coordinate with shipping lines and truckers for cargo space booking and container pickup/delivery
- File required customs forms and verify shipping documents meet international trade requirements
- Communicate shipping schedules and deadlines to customers, agents, and overseas partners
- Track shipments and provide regular status updates to customers throughout transit
- Send shipping documents and arrival notifications to destination contacts within 48 hours of departure
- Handle customer inquiries and resolve shipping delays or issues as they arise
- Maintain accurate records in company shipping system and collaborate with internal teams
- Review and approve freight invoices, then bill customers within 48 hours of shipment
- Work with partners to reconcile costs and negotiate competitive shipping rates for customers
- Provide tracking information and regular reports to keep customers informed
- Handle post-shipment issues including damage claims, delays, or missing cargo
- Coordinate international shipments between other countries when needed
- Work with US team for shipments requiring American export filings
- Complete additional duties as assigned with attention to detail and customer service
What skills & experience you will bring to us
- 2+ years of experience in freight forwarding, specifically with ocean export operations.
- Understanding of customs regulations and global trade compliance, including INCOTERMS.
- Proficient in logistics software and Microsoft Office (especially Excel).
- Strong organizational and communication skills.
- Solving problems effectively as they arise.
- Attention to detail and ability to multitask in a fast-paced environment.
- Strong organization and time management skills, with seamless ability to multitask.
- Customer-focused with excellent interpersonal skills.
- High end accuracy required for documentation and day to day tasks.
