Irwin’s Safety is currently looking for a Divisional Scheduler for our Emergency Response Division.
The Divisional Scheduler provides administrative and logistical support for all phases of divisional projects execution, from planning to closeout. This role includes scheduling and coordination, ensuring compliance, billing, and monitoring resource allocation.

Responsibilities

  • Oversee the verification of employee training records for each project.
  • Oversee site leadership throughout the project, monitoring paperwork compliance, including spot audits of quality and confirmation of completion with support provided by the divisional administrator.
  • Monitor the implementation of Irwin’s initial and ongoing competency assessment process in the field, providing regular feedback, coaching, and mentoring to Project Leads.
  • Oversee project team during initiation, planning, and closing activities in their fulfillment of tasks to prepare for client requests.
  • Ensure accountability of project team members and field resources by consistently providing constructive feedback through appropriate channels, as well as administering disciplinary actions when necessary.
  • Act as a project coordinator for divisional projects, providing leadership and delivery through the execution of project planning, initiation, and close out.
  • Plan and coordinate all aspects of the project lifecycle, from initiation to closure.
  • Prepare and maintain project documentation, including schedules, budgets, and reports.
  • Assign personnel to jobs based on availability and skill set
  • Manage project schedule from point of handover from Account Manager (initiation) through closing activities including crew schedule and project timelines.
  • Serve as a point of contact for client relations, manage change, and delegate tasks as appropriate.
  • Liaise between field teams, clients and management
  • Provide updates on job status and scheduling conflicts
  • Manage the appropriate allocation of resources to ensure continuity is maintained and workers are provided adequate supervision to their level of knowledge and experience.
  • Provide leadership and direction for employees and contracted personnel under their supervision, delegating tasks and monitoring performance as required.
  • Process timesheets and approve hours
  • Handle client billing and ticket reconciliation
  • Assist with subcontractor / vendor coordination
  • Facilitate communication between stakeholders to ensure project success.
  • Ensure compliance with company policies, procedures, and regulatory requirements.
  • Identify and mitigate project risks and issues.

Qualifications

  • Previous experience as a Scheduler or in a similar role within an industrial company is preferred.
  • Proficiency in using scheduling software is highly desirable.
  • Proficiency in Microsoft Office 365 is required
  • Excellent organizational skills with the ability to multitask in a fast-paced environment.
  • Ability to work collaboratively within a team while also being self-motivated.
  • Experience with Emergency Response (medic / rescue) would be considered an asset
  • Must possess a valid class 5 (or better) driver's license, a clean driver's abstract and a minimum of 3 years driving experience

Job Types: Full-time, Permanent

Pay: $60,000.00-$65,000.00 per year
