Altis Recruitment is grateful to partner with an organization within the Broader Public Sector to support the recruitment of 3 Event Coordinators. These positions are 3 month contract roles will support high-impact, community-centered events.
This opportunity will support the planning and on-the ground execution of a 3-day event located in St. Sault Marie, Ontario. This individual will work under the direction of an Event Manager and Team lead and collaborate closely with event advisors and volunteers. The 3 successful candidates will play a critical role in ensuring the event logistics run smoothly, timelines are maintained and teams remain on task, even when plans change unexpectedly.
The 3 successful candidates will start ASAP and begin working a 37.5 hour work weeks from 830am - 430pm with requirements for overtime for the 2 weeks leading up to the event and on event days. They will also be required to travel to St Sault Marie, Ontario for the 2 weeks prior to the event from August 14th - August 17th. Candidates are able to work remotely across Ontario for the duration of the contract and will be reimbursed for travel to the event in St. Sault Marie, Ontario.
This role is open to all qualified candidates; however, preference may be given to individuals who identify as First Nations, Inuit or Métis and or/have experience working with First Nations, Inuit or Métis communities. The final hiring decision will be based on merit.
Key Responsibilities:
- Assist with the implementation of a pre-existing event plan and ensure all milestones are met.
- Coordinate day-of logistics, troubleshoot in real-time, and pivot as needed.
- Provide on-site support during events, including volunteer supervision and operational oversight.
- Collaborate with the Event Manager, Team Lead, and event advisors to ensure execution aligns with strategic goals.
- Support volunteer management: ensure volunteers are engaged, supported, and on task.
- Monitor adherence to schedules and responsibilities by both staff and volunteers.
- Work outdoors in varying weather conditions (including summer heat).
- Ensure culturally sensitive practices in all interactions.
- Maintain open and clear communication across all teams and stakeholders.
- Demonstrate initiative, self-direction, and an ability to adapt quickly under pressure.
Qualifications and Skills:
- 3+ years of relevant experience in event coordination or project support.
- Proven ability to work independently with minimal onboarding.
- Strong organizational and time management skills.
- Excellent verbal and written communication abilities.
- Advanced proficiency in Microsoft Office Suite.
- Demonstrated ability to manage competing priorities in fast-paced environments.
- Event management certification is a strong asset.
- Experience working alongside First Nations, Inuit, or Métis communities, or in support of businesses, organizations or initiatives that are led by Indigenous Peoples (First Nations, Inuit or Métis) is considered a strong asset.
