About the role:
An Executive Assistant to the CEO is a pivotal role, providing high-level administrative support to the Chief Executive Officer. This position involves managing the CEO’s schedule, coordinating meetings, and handling correspondence. The executive assistant often acts as a liaison between the CEO and other stakeholders, including senior executives, clients, and board members. Key responsibilities include organizing travel arrangements, preparing reports and presentations, and ensuring the smooth operation of the CEO's office. Strong organizational skills, discretion, and the ability to manage multiple priorities are essential, along with a deep understanding of the company's operations and strategic goals.

Main Responsibilities:
- Organize the schedule of appointments and meetings for the CEO - Arrange the necessary travel arrangements & reservations for the CEO & Leadership Team
- Ensure all emails and correspondences received by the CEO are answered in a timely manner - In collaboration with the IT team, assist the CEO with technical troubleshooting
- Assist the CEO with presentations and speaking events, including logistics and arrangements
- Edit, draft, proofread and format documents/ presentations, as required.
- Follow up on all commitments with consistency, accuracy and timeliness.
- Assist the CEO with day to day personal tasks, as required
- Work closely with members of the CEO & Leadership team to follow up on action items that arise from leadership meetings
- Send emails and other correspondences on behalf of the CEO, as required
Qualifications:
- A minimum of 4 years experience in an executive administrative support role
- Prior experience managing a complex calendar across multiple time zones required
- Professional discretion and confidentiality are a must
- Polished and tactful executive level communication skills
- Active listener and clear communicator with high ability to anticipate needs
- Calm and professional when adapting to changing priorities
- Able to manage and solve conflict situations calmly and professionally
- Related post secondary education strongly preferred
- Expert at using current office technology, including but not limited to Google Workplace, MS Office, video technologies.
- Outstanding organization and time management skills
- Driver’s license and able to travel locally in BC is an asset
