Direct IME is looking for an Intake Coordinator to join our team onsite!
The Intake Coordinator handles all aspects of a referral from receipt of referral through scheduling, to on to confirming attendance. Duties include, but not limited to, intake, scheduling, review of medical documents, customer service, data entry, telephone duties, and clinic coverage. This role includes intake coordination and trials coordination, liaising with our clients and doctors with a focus on accuracy, quick turnaround time and excellent customer service.
This is an onsite role Monday to Friday. The hourly range is $24-$26.

Responsibilities:
- Handles the Intake of new referrals of various types from a variety of sources.
- Inputs referral information into IME-Centric, adding case notes and archives emails in IME-Centric per Company policies
- Schedules examinations through IME Centric for single and multiple assessments
- Schedules and confirms appointment dates and times with physicians' offices
- Communicates with clients regarding appointment scheduling, physician CV's, appointment
- Coordinates with the client to obtain required medical records prior to examination
- Communicates with physicians, clients and or examinees regarding any changes due to
- Coordinates services such as interpretation, chaperones, transportation, and or exam site rentals when needed. Ensures the appropriate steps are taken to cancel and/or reschedule services upon appointment change or cancellation
- Handles and responds promptly to incoming calls, e- mails or faxes from physicians or clients
- Monitors various work queues to ensure all cases are followed up on and moved forward per company standards
- Relief front desk coverage when assigned
- Weekly communication with clients advising appointment availability (E-Blasts)
- Other duties as assigned
- Scheduling our assessors for expert testimony on the stand by coordinating with the law firms for both in-person and virtual testifying.
- Coordinating with 3rd party vendors for virtual testimony
- Adhering to Courthouse deadlines to obtain preparatory documents and expert files
- Scheduling trial preparation calls pre-trial testimony
- Tracking and updating case files for trial settlements and adjournments.
- Providing up to date fee structures and breakdowns for trial appearance, travel (if applicable), trial prep and any trial related tasks to the clients for accurate reporting.
- Generating, editing and sending formal correspondence to the clients and assessors for trial related and expert file updates.
- Handling of Notes Release requests
Education/Experience:
- High school diploma or equivalent required.
- A minimum of two years clinical or related field experience; or equivalent combination of education and experience.
- Knowledge of the insurance industry preferably claims management relative to one or more of the following categories: workers' compensation, no-fault, liability, and/or disability.
- Must have strong knowledge of medical terminology, anatomy and physiology, medications and laboratory values.
- Must be a qualified typist with a minimum of 40 W.P.M
- Must be able to operate a general computer, fax, copier, scanner, and telephone.
- Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Outlook, Excel, and the Internet.
- Must possess excellent skills in English usage, grammar, punctuation and style.
- Ability to read, analyze and interpret common correspondence, medical records, itemized billing statements and legal contracts and documents.
- Ability to write clearly and informatively to all required audiences and edit own work for appropriate spelling and grammar.
- Must be able to work quickly and efficiently in a fast-paced environment
- Intermediate to advanced computer literacy
