Accountabilities

Job Description:

  • Responsible for the coordination and supervision of the functions.
  • Provide input on standards, policies, and procedures relating to areas this position oversees.
  • Embrace the mission of The Salvation Army Cowichan valley the Community & Family Services Mission, Vision & Goal Statements.
  • Serve the clients by doing intake, assessing their needs, and entering the information into the databases Link2Feed.
  • Provide emergency assistance (as necessary) in the forms of food, travel voucher, shelter vouchers, prescriptions, furniture, clothing, etc., and decline assistance when necessary.

Seasonal Accountabilities: (start as early as Oct 1 and ends after Christmas)

  • Organize the Christmas Mail out letters.
  • Organize and supervise Community & Family Services Christmas Services—Christmas kettles, Christmas Hampers, toy drives, Christmas Angel tree tags.
  • Responsible for the planning and implementation of the Christmas Programs that include the hampers, gifts, adopt a Family, and Managing the application process. Ensure that there is a sufficient supply of food hamper items and toys/gifts, whether donated or purchased.
  • Coordinate hamper vouchers, toy packing, and distribution.
  • Coordinate volunteers for Christmas registration, gift shopping, toy packing, toy shipping, hamper voucher distribution day.
  • Provide documents for the proper recording of donations.
  • Ensure donors are acknowledged with letters or receipts for monetary donations.
  • Coordinate Adopt a Family program and be the liaison between the donor and the recipient

Volunteer Supervision And Team Lead Activities

  • As a team lead, provides input on the Annual Performance Review.
  • May assist the TSRM (Thrift Store Retail Manager) in conducting employment interviews.
  • Will work to recruit, coordinate, and schedule volunteers.
  • Recommend and arrange for ongoing staff training.
  • Support staff/volunteers supervision, which includes participating in recruitment, selection, orientation.
  • Ensure that Health and Safety Committee functions according to appropriate SA & legislative requirements.
  • Adhere to policies and procedures outlined in SA Employee Relations Policy Manual and comply with accreditation standards.

Ministry Unit Coordination

  • Assist with the Ministry Unit to form and maintain a local Pathway of Hope.
  • Facilitate ministry unit access to the services of the THQ Pathway of Hope team including case consultation and technical assistance, training, and development, as well as evaluation and reporting.
  • Ensure program policies and procedures are followed to maintain integrity, accountability, and program outcome measurements.
  • Completes the required timesheet accurately recording hours worked, including sick days and holidays, totals the hours, signs, and gives the timesheet to the Supervisor at the completion of each 2-week pay period.

Funding Administration And Reporting

  • Identify, secure, and apply for new funding sources that will advance and adhere to the Salvation Army standards and programs.
  • Liaise/Network with relevant community agencies to complete grant and other funding requests, provide feedback to agencies.
  • Provides input in preparation of annual budgets to the TSRM for DHQ approval submission.
  • Ensure timely completion and submission of Community & Family Services statistical reports are entered in Link2feed and or Samis.

MANAGERIAL/Technical Leadership RESPONSIBILITY

  • This position reports directly to the Thrift Store Retail Manager
  • This position may act as a team lead to Pathway of Hope caseworker (POH); may provide input in training, day-to-day supervision, oversight of workflow, and provide feedback regarding performance to TS Retail Manager.
  • This role is also accountable for the oversight of volunteers in its area of responsibility.

Working Conditions

  • Working environments for this position will include: the office, as well as out in the community..
  • Work will expose incumbent to deal with disagreeable/angry clients.
  • Requires regular use of computer
  • Requires considerable mental effort
  • May involve applying physical force to move/lift/transport materials of up to 40 lbs.

Education And Experience Qualifications

Education, Qualifications and Certifications:

  • A minimum of two (2) years post-secondary education in a relevant field.

Experience And Skilled Knowledge Requirements

  • A minimum of 3 years of relevant experience.
  • Computer literacy (Window, Word, Excel, PowerPoint, etc.)
  • Fiscal and managerial experience will be considered as an asset.

Compensation

The target hiring range for this position is $21.83 to $27.29 with a maximum of $32.75.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
