We’re hiring an experienced Event Coordinator for our Burnaby Office (Full Time, Permanent) to support the Director of Events in planning and delivering a range of corporate events including conferences, tradeshows, lectures, galas, seminars and more.
This role involves managing event logistics, vendor coordination, on-site support, promotional items, and sponsorship deliverables.

This role involves managing event logistics, vendor coordination, on-site support, promotional items, and sponsorship deliverables.

- Event Planning & Logistics
- Support the planning and execution of corporate-focused events.
- Assist with event timelines, registration processes, communications, and on-site logistics.
- Help develop and maintain event schedules, agendas, and run-of-show documents.
- Promotional Swag Coordination
- Manage national inventory and distribution of promotional items for events.
- Coordinate with vendors to ensure timely delivery and quality control.
- Sponsorship Support
- Track internal and external sponsorship commitments and ensure deliverables are fulfilled.
- Assist with attendee selection and sponsorship benefit execution.
- Event Collateral & Social Media Support
- Ensure all event collateral (e.g., banners, signage, handouts, presentations) is delivered on time and aligned with corporate event brand standards.
- Working with Marketing team, assist in gathering content and coordinating social media posts for key events and activations.
- Ensure visuals and messaging are consistent with brand tone and guidelines.
- Vendor & Venue Support
- Coordinate with venues, caterers, and suppliers to manage event logistics.
- Support the review of contracts and help ensure service levels meet expectations.
- Budget Tracking
- Assist with event budget planning and expense tracking.
- Liaise with the Finance team to process invoices and ensure accurate financial documentation.
- On-Site Event Support
- Provide hands-on support during events, including setup, execution, and takedown.
- Act as a point of contact for vendors, sponsors, internal teams, and attendees on-site.
- Post-Event Evaluation
- Collect feedback from attendees, vendors, and stakeholders.
- Contribute to post-event reports and identify areas for future improvement.
- Administrative Support
- Maintain organized records of event-related materials, contracts, and promotional inventory.
- Provide general administrative support including scheduling, agenda preparation, and meeting coordination.
- Degree in Event Management, Marketing, Hospitality, Communications, or a related field (or equivalent experience).
- 3–5 years of experience supporting corporate or B2B events.
- Excellent organizational and communication skills.
- Strong attention to detail and ability to manage multiple priorities under pressure.
- Proficient in Microsoft Office Suite; experience with Eventbrite, survey platforms or similar event planning tools is an asset.
- Experience with Canva or basic graphic design is an asset.
- Familiarity with vendor management, sponsorship fulfillment, and promotional merchandise coordination preferred.
- Flexibility to travel and work early mornings, evenings, and weekends as required.
