Purpose of the Role::

The Client Service Associate, New Accounts Administrator, is responsible for providing exceptional service to our high-net-worth clients. This role works in collaboration with our Advisors to manage the onboarding process for new client families as well as existing clients looking to open new accounts. As a member of a collaborative and client-focused team, the Client Service Associate, New Accounts Administrator, utilizes exceptional communication, problem-solving and relationship management skills and industry knowledge to provide excellent service to clients and our advisors.

This is a hybrid role that is open to our Vancouver, Toronto, Kelowna or Calgary offices. We will be hiring for two positions on our New Accounts Team: one permanent role and one 15-month contract role.

Core Responsibilities:

  • Collaborate with the Private Wealth team to provide expertise and deliver a high level of personalized client service. 
  • Prepare new accounts and transfer documentation for various account types and scenarios. 
  • Work directly with clients to complete and sign necessary documentation to open new accounts and transfer assets. 
  • Liaise with our custodian to open accounts and transfer in assets in a timely manner; proactively escalating where necessary to ensure strict adherence to service level agreements (SLAs). 
  • Reconcile in-cash and in-kind transfers, validating that all assets have successfully transferred in.   
  • Accurate entry of client information into our CRM database (Salesforce). 

Required Skills & Qualifications:

  • Minimum of 3 to 5 years of experience within the financial services industry in a client facing capacity, with exposure to both front and back-office responsibilities. 
  • An undergraduate degree or a related financial services designation is an asset. 
  • Ability to process transactions across multiple systems. 
  • Ability to learn new and multiple, complex information systems. 
  • Experience with improving and documenting processes is an asset.
  • Proficiency with MS Outlook, Excel and Word and experience with a CRM database (Salesforce).

  • Regulatory Compliance: Demonstrates knowledge of regulatory requirements—including AML, KYC, CRS, and FATCA—and ensures full compliance across account types, legal entities, and asset transfers by meeting all internal and external obligations. 
  • Client Service Mindset: Demonstrates a proactive, empathetic, and solutions-focused approach to client service by addressing needs promptly, resolving issues effectively, and building trusted relationships through professional, courteous, and high-quality interactions. 
  • Communication: Effectively communicate by actively listening, responding appropriately to verbal and non-verbal cues, and delivering clear, concise, and audience-appropriate verbal and written information to build trust and support collaboration. 
  • Team Player: Collaborates effectively by building trust within the team, sharing relevant information, supporting others’ work, and balancing diverse stakeholder needs while upholding team standards. 

Compensation & Benefits Package:

This position comes with a competitive base salary hiring range of $55,000 - $65,000; dependent on experience, skills, qualifications and internal equity.
