Job Description

MAJOR DUTIES:

Performs a full range of administrative support duties at the executive level in a fast-paced, multi-tasking environment.

SPECIFIC RESPONSIBILITIES:

  • Scheduling and managing appointments through Microsoft Outlook.
  • Prepare and update PowerPoint presentations and spreadsheets.
  • Scheduling internal and external meetings and booking meeting rooms.
  • Conduct follow-up to assignments given to staff and generate status reports.
  • Compile and present KPI data and distribute monthly reports.
  • Maintain files and records, including storage.
  • Responsible for making travel arrangements as needed and monitoring them to ensure maximum efficiency and accuracy.
  • Collect, correlate and generate custom reports using data acquired from various systems.
  • Manage and maintain the Engineering 5S program
  • Conduct periodic audits on various processes and systems within Engineering.
  • Create and follow up with manual requisitions.
  • Coordinate and communicate activities within the department.
  • Manage and maintain the Engineering SharePoint site.
  • Coordinate travel for non-project-related engineering events.
  • Assist in the development and maintenance of training programs, guidance documents and Engineering design standards
  • Work with sensitive and highly confidential information.
  • Ensure that all business activities are performed with the highest ethical standards and in compliance with the ATS Code of Business Conduct.
  • Adhere to all health and safety rules and procedures.
  • Other duties as assigned.

Qualifications

Education:

Post-secondary education in administrative support.

Experience:

Minimum two years of related experience in an administrative support role. Expertise with Word, Excel, PowerPoint, SQL, Visio and other commonly used software. Strong computer and general organizational skills are essential.

The individual must have the ability to communicate effectively with people at all levels within and outside of the organization, both orally and in writing. The ability to work with minimal supervision and guidance in a team-oriented environment is mandatory. The individual must demonstrate initiative and innovation, be hands-on, and be able to meet deadlines. Proficient in Excel and VBA for data management and analysis with other programming skills being an asset. Experience working with SharePoint websites is an asset.
