The Position
The Squad Coordinator plays a significant role in ensuring the seamless and effective functioning of one or more brand squads. Collaborating with internal and external stakeholders you will be a champion for processes and systems and drive process simplification enabling the squad/s to work effectively within our highly regulated environment. You provide a positive customer experience by coordinating effective end-to-end implementation of projects, internal and external meetings (and Medical and Promotional events, Advisory board) and multi-channel initiatives.

Reporting to the Chapter Lead, the Squad Coordinator enjoys a diverse workload and have a talent in managing various deliverables at once with the ability to effectively prioritise. Responsibilities will include but may not limited to:
As a Squad Coordinator, you'll play a vital role in ensuring the effective delivery of projects, events and business support activities across our organisation. You'll achieve this by partnering within the business, coordinating and delivering multi-channel initiatives, ensuring a positive customer experience every step of the way.
You are an experienced Team Coordinator who possess exceptional communication skills and a keen eye for detail, consistently delivering value-adding experiences for all stakeholders. Your strong organisational skills, creative thinking, and customer-centric approach drive continuous improvement and simplification.

As a Squad Coordinator, you'll play a vital role in ensuring the effective delivery of projects, events and business support activities across our organisation. You'll achieve this by partnering within the business, coordinating and delivering multi-channel initiatives, ensuring a positive customer experience every step of the way.
- Meeting and event management: Drive coordination of internal and external meeting, activities and engagements, including team meetings, education events, and sponsorships.
- Coordinate travel and logistics for a variety of interactions, from large conferences to hybrid, digital, and in-person engagements.
- Cross-Functional Collaboration: partnering with relevant stakeholders and departments to proactively anticipate and troubleshoot any issues or roadblocks.
- Manage vendor and expense tracking.
- Contracting and logistics support for customer engagements, primarily with Healthcare Professionals.
- Champion processes and optimise efficiency, leveraging expertise in systems (e.g. vendor/expense management, contracting, document management) to drive operational excellence.
- Effectively manage multiple priorities, ensuring high-quality outcomes.
- Identify development and knowledge sharing opportunities to drive continuous improvement for yourself and build on the capabilities of the team (and where appropriate other teams)
You are an experienced Team Coordinator who possess exceptional communication skills and a keen eye for detail, consistently delivering value-adding experiences for all stakeholders. Your strong organisational skills, creative thinking, and customer-centric approach drive continuous improvement and simplification.
You Are
- adaptable and collaborative Administration professional or Team Coordinator with a proven ability to manage competing priorities.
- Proactive and highly motivated
- a self-starter, you're eager to expand your capabilities and own your development
Knowledge And Experience
- Experience as Administration Assistant, Team coordinator, office management or similar preferred
- Knowledge of MS Office Suite and Google Suite a must
- Preferred but not essential Certificate in administration or related fields, an understanding of the agile principles and pharmaceutical industry, including the Medicines Australia Code of Conduct
