Here's how an Administrative Assistant for our Edmonton NAHQ office supports our Business Technology team:
Responsibilities
- Provide management support including assistance with employee onboarding and intake coordination, team calendar maintenance, distribution group and permissions maintenance.
- Manage and review credit card and expense statements and assist in reconciling them.
- Update entries and prepare monthly equipment billing reporting in JDE E1.
- Data entry and maintenance of online sites, databases, and filing.
- Prepare and distribute meeting notices, agendas, minutes, and materials.
- Coordinate and execute meetings and/or special events including arranging catering, locations, and distribution of information.
- Arrange travel, hotel, and car rental reservations.
- Provide accurate Word, Excel, and PowerPoint support by composing and/or editing a variety of documents and presentations.
- Assist with mail distribution and courier responsibilities.
- Organize and order office/business supplies and arrange for maintenance of shared office equipment.
- Other duties as required.
- High school diploma.
- Post-secondary degree or diploma or certificate in office administration is considered an asset.
- 3 or more years of administrative experience.
- Excellent verbal (expression and comprehension) and written communication skills.
- Professional and service-oriented approach internally and externally.
- Poise and confidence in interactions with people at all levels.
- Self-management skills with a high level of detail orientation to plan, organize, and prioritize tasks with conflicting deadlines.
- Adaptable and able to work in a fast-paced and rapidly changing business environment.
- Able to act with discretion when handling confidential and privileged information.
- Strong computer literacy; advanced skills in Word, Excel, PowerPoint, and Outlook.
- Ability to work effectively under minimal supervision.
- Knowledge of JDE E1 is considered an asset.
