Brief Call: Our process typically begins with a brief virtual/phone conversation to get to know you! The objective? Learn about you, understand your motivations, and make sure we have the right job for you!

Interviews (the average number of interviews is 3 - the number may vary depending on the level of seniority required for the position). During the interviews, you will meet people from our team: your line manager of course, but also other people related to your future role. We will talk in depth about you, your experience, and skills, but also about the position and what will be expected of you. Of course, you will also get to know Amaris: our culture, our roots, our teams, and your career opportunities!

Case study: Depending on the position, we may ask you to take a test. This could be a role play, a technical assessment, a problem-solving scenario, etc.

Job Description

We are looking for a detail-oriented and proactive Administrative Assistant to join our team at the Toronto Pearson Airport. The successful candidate will support customer training operations, manage documentation, and ensure smooth administrative coordination on-site.

Key Responsibilities:


  • Coordinate hotel bookings for training sessions and ensure monthly invoicing is consolidated accurately.
  • Plan and organize all secondary training sessions for the customer; ensure all related certificates and Training Management System (TMS) records are properly updated.
  • Audit and cross-check customer training course files for accuracy and completeness.
  • Issue training certificates after verifying student attendance for both theory and practical components.
  • Monitor and fulfill JIRA ticket requests from the customer in a timely manner.
  • Serve as the primary administrative point of contact for customer training needs.
  • Prioritize daily administrative tasks to meet customer expectations and comply with internal policies and processes.
  • Collaborate with and support team members when needed.
  • Respond to all internal and external inquiries within 24 hours.


Profile Requirements:


  • Strong organizational skills and keen attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage priorities and meet deadlines efficiently.
  • Familiarity with general office administrative processes.
  • Ability to work under pressure in a dynamic, fast-paced environment.
  • Strong customer service orientation and responsiveness.


Experience: Open to candidates with 2 to 5 years of experience in administrative or coordination roles. Motivated entry-level candidates will also be considered.
