Position Summary

Full-Time Administration, new contract position (two-year contract)

The Centre for Health Care Research & Innovation (CHCRI) is seeking a Project Coordinator to oversee special projects. As a key member of the CHCRI team, The Project Coordinator will be responsible for planning, organizing, and guiding projects through to successful completion. This includes developing strategic timelines, coordinating meetings and activities, engaging with partners, setting deadlines, and supporting project reporting.

Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a hybrid work arrangement, Monday to Friday, 8:30 a.m. to 4:30 p.m., with three days on-site at the Doon campus located at 299 Doon Valley Dr. in Kitchener and two days remote. Flexibility in scheduling is required.

Responsibilities

Project administration

  • Serve as the point of contact for internal college stakeholders involved in the project
  • Work with the project team to ensure all deliverables align with Conestoga standards and are completed within established timelines
  • Develop, update, and maintain comprehensive project plans, including key milestones, deliverables, and timelines, for both internal and external use
  • Lead regular project update meetings to monitor progress, gather feedback, and ensure alignment across teams
  • Identify potential risks or challenges that may impact timelines or deliverables and proactively develop solutions
  • Prepare clear and concise documentation to summarize project outcomes, findings, and recommendations

Project budgeting, tracking and reporting

  • Monitor and maintain the project budget to ensure alignment with financial goals; report variance to the Director
  • Forecast future expenditures based on the remaining budget and project plan; consult with the Manager on any additional expenditures before finalizing
  • Create and manage a system to track deliverables (e.g. Qualtrics surveys, data extraction templates) in collaboration with the Director and Senior Researcher
  • Collate and analyze data to extract meaningful information on budget and program/research initiative uptake (e.g., number of participants, number of organizations, etc.)
  • Draft monthly, quarterly and annual reports in accordance with funder guidelines

Marketing and recruitment

  • Develop and implement a strategic marketing plan to increase awareness and engagement with CHCRI initiatives and projects
  • Build marketing and recruitment materials that reflect person-centred, inclusive language in accordance with the Accessibility for Ontarians with Disabilities Act (AODA)
  • Use a variety of creative channels and platforms to distribute marketing materials to target audiences
  • Manage CHCRI’s social media presence (LinkedIn, X, etc.), including the creation, scheduling, and monitoring of engaging content

Technical support

  • Mentor and train students working at CHCRI to build their project coordination and implementation skills, including creating templates, brief reports, presentations, etc.
  • Support the onboarding process for new students (e.g., orientation meetings, organizing access to Microsoft Teams, providing an overview of projects, reviewing ethics change forms to add student names to the project)

Qualifications

  • Bachelor’s degree in health or a related field of study is required
  • Project management certification is considered an asset
  • Minimum three years of experience in project management and working with industry and institutional partnerships is required
  • Experience in a post-secondary education institution is considered an asset
  • Proficiency in using Microsoft Office applications and design tools such as Adobe and Canva
  • Excellent communication skills (written and verbal presentation to different audiences)
  • Ability to facilitate collaboration with stakeholders to achieve project goals, including project planning, budgets, and evaluation
  • Self-starter with a proactive attitude who can anticipate needs
  • Strong attention to detail and organization skills
  • Ability to manage multiple projects with competing priorities simultaneously and effectively
  • Ability to resolve problems with good judgement and diplomacy
  • Interest and passion in health care and enhancing the quality of life and care for older adults
  • Good interpersonal skills and ability to maintain and foster cooperative and courteous working relationships with colleagues, peers and supervisors
