Rothman Orthopaedics is looking for a per diem Therapy Operations Assistant based designed to support several of our New Jersey offices as needed.
Schedule: As needed: Monday through Thursday 7 AM to 7 PM and Fridays 7 AM to 4 PM
Travel: As needed: Hamilton, Princeton, Pennington, Bordentown, Marlton, Washington Township, NJ
Job Summary
The Therapy Operations Assistant plays a dual role in ensuring smooth Therapy Front Desk Operations and providing hands-on support to the hand therapists. Responsibilities include verifying insurance and obtaining authorizations, scheduling patient appointments, collecting copays, maintaining inventory of supplies and materials and assisting with therapy sessions and patient care as needed. This role is key to delivering a seamless and supportive experience for both patients and clinicians.
Key Accountabilities
Increased patient satisfaction, co pay collection, referral capture, time stamping accuracy, accuracy in demographic and insurance capture, time management (attendance and overtime), chart prep for insurance, cross training to assist in other areas

Essential Duties
- Greets patients and visitors in a prompt, courteous, and helpful manner.
- Checks in patients, change status to arrival, verifies and updates demographic, insurance and referral information in ECW.
- Collects co-payments, self-pay and supply payments (as indicated on the fee schedules on RO Insider (Therapy tab)). Utilizes ECW to enter payments and notes to the Business Office.
- Checks out and makes patient follow-up appointment with Physical Therapy or Hand Therapy Provider.
- Handles direct scheduling duties for physical and hand therapists to include incoming patient calls, rescheduling cancellations and no-shows and overall schedule management to maximize patient access and therapist flow.
- Verifies and documents physical therapy and/or DME/splint benefits for all new incoming patients.
- Ensures proper forms and clinical information is submitted to insurance companies in a timely manner to obtain insurance authorization as determined in verification process.
- Track authorized PT/HT visits, unit and time limits. Informs therapist when additional visits need to be requested and provides therapist the appropriate forms, should clinical information be required for insurance authorization for initial and ongoing visits.
- Creates a new patient packet that includes: PT benefit verification form, physical or hand therapy questionnaire and prescription
- Utilize eCW to scan patient documents. To include: PT benefit verification forms, authorizations, questionnaires, prescriptions and home exercise programs.
- Answers telephone, screens calls, takes messages, and provides information.
- Assist patients with ambulatory difficulties.
- Screens visitors and responds to routine requests for information.
- Maintains work area and lobby in neat and orderly manner and re-supply front desk for the day.
- Collect applicable insurance co-pay information and referrals.
- Batch out and balance end of day payments.
- Assist other front desk personnel in situations with irate patients.
- Attends meetings as required.
- Prepare all work for the next business day including referral number, authorization number for Physical/Occupational Therapy visits and splints.
- Print out all related paperwork for patients’ appointments with the therapist.
- Other duties as assigned by manager/director.
- Works in conjunction with the Patient Responsible team to collect past due balances.
- Maintains hand therapy supplies inventory by checking stock to determine inventory level; anticipating needed supplies; completing supply requisitions; verifying receipt of supplies.
- High School Diploma or GED required
- One year experience in medical or therapy office preferred
- Medical office procedures and medical terminology required
- Computer skills including, but not limited to, MS Office required
