  • Maintains accurate and up-to-date employee records, including personal information, benefits enrolment, changes of information, and other relevant documents.
  • Ensures compliance with data protection regulations and maintains confidentiality of sensitive employee information.
  • Maintains compliance with labour laws and regulations by staying updated on relevant changes and assisting in necessary updates.
  • Participates in continuing education programs in keeping with required competencies and skills.
  • Participates in a team approach by attending and participating in team meetings and training (e.g. continuous quality improvement initiatives).
  • Promotes the mission of quality healthcare by performing any other tasks and duties that may be assigned or required, to maintain effective and efficient workflow.
  • Develops and revises forms and templates as required.
  • Assists with data entry into HR systems and other databases, including Excel spreadsheets.
  • Prepares and issues Verification of Employment Letters, letters for Vulnerable Sector Police checks and other relevant documents.
  • Assists in leave management, disability management and incident reporting.
  • Assists in the preparation of unionized and non-unionized offer packages.
  • Assists with onboarding new employees, verifying documentation is received, and creating new employee files.
  • Sends employee login information, employee portal access, and assists with any inquiries for access.
  • Processes closing files for all resignations, retirements, and terminations.
  • Provides administrative and clerical support in the organization and delivery of annual programs/events such as Employee Service Milestone Awards.
  • Acts as a resource on corporate/departmental issues and projects.
  • Produces ad hoc reports and spreadsheets for various projects.
  • May participate on committees or focus groups.
  • Performs research assignments including completion of various surveys.
  • Other duties as required.
  • Human Resources specialization or related certification preferred.
  • Working towards CHRP preferred.
  • 1-year administrative experience, with experience in a Health Care Setting preferred.
  • Acquired knowledge of labour/employee relations processes, employment standards legislation, and human rights principles.
  • Knowledge of collective agreements and their interpretation.
  • Excellent interpersonal skills required to communicate with staff at all levels in the organization, volunteers, visitors, members of the public and job applicants with tact, diplomacy and respect for confidentiality.
  • Detail-oriented, able to follow processes accurately and precisely, often under tight deadlines.
  • Able to prioritize in a fast-paced environment.
