In this role, you will help wealth advisors to stand out by offering exceptional customer service that will have a positive, long-term impact on our clients.
Your job :
1. Executive Support
- Manage calendars for Advisors, including scheduling client meetings, internal reviews, and professional commitments
- Prepare and organize meeting materials (agendas, summaries, documents) in collaboration with support staff
- Coordinate travel arrangements, conference bookings, and special events
- Screen and prioritize incoming communications (emails, calls, and messages) for Advisors
2. Client Care & Communications
- Draft professional correspondence and client-facing communications
- Maintain a strong understanding of client preferences, key dates (birthdays, anniversaries), and ongoing service needs
- Assist with follow-ups from client meetings, ensuring timely execution of next steps and documentation
- Help in the production of monthly market outlook videos, including light editing, branding, and formatting for upload.
3. Administrative Operations
- Track deliverables such as financial plans, account documentation, and client reviews
- Liaise with internal departments (compliance, operations, marketing) to coordinate submissions and ensure process adherence
- Maintain and update CRM with accurate notes, deadlines, and meeting records
- Help organize team and client events, managing invitations, logistics, and follow-ups
4. Team Collaboration & Project Support
- Support special projects and business initiatives at the direction of Advisors
- Maintain internal checklists and workflows to ensure consistent service delivery
- Collaborate with other associates and licensed team members to balance workload and provide backup when needed

Prerequisites
- 2+ years of experience in customer service or administrative roles
- Financial industry experience not required
- Exceptional organizational skills and attention to detail
- Strong verbal and written communication skills
- Proficiency in Microsoft Office Suite
- Ability to handle sensitive information with discretion and professionalism
- Self-starter who can manage multiple tasks with minimal supervision
