Under the supervision of the Vice President, the person holding the position is responsible for implementing and monitoring the administrative procedures of the civil and infrastructure business unit and associated projects. They collaborate with the principal assistants from various departments to develop and maintain procedures, coordinate administrative personnel needs, and supervise report production. They support directors in supervising and training project assistants, as well as tracking their development.

Under the supervision of the Vice President, the person holding the position is responsible for implementing and monitoring the administrative procedures of the civil and infrastructure business unit and associated projects. They collaborate with the principal assistants from various departments to develop and maintain procedures, coordinate administrative personnel needs, and supervise report production. They support directors in supervising and training project assistants, as well as tracking their development.
What You Will Do
- In collaboration with the principal assistants, ensure monitoring of best practices in administrative procedures and processes related to project management and maintain uniformity of all procedures and processes for the civil and infrastructure division and associated projects.
- Coordinate administrative personnel needs for the office and projects. Ensure the development and maintenance of new procedures, as well as updating documentation in collaboration with various departments and the administrative procedures committee.
- Provide, coordinate, and supervise the production of various reports for different departments (project distribution, resource availability, contractual or accounting tracking, etc).
- Collaborate with various support departments (quality, accounting, environment, OHS) to ensure project compliance in the application of procedures on different platforms.
- In collaboration with the principal assistants, ensure the training of project assistants or ensure they are well trained.
- Organize, coordinate, and lead various administrative meetings throughout the year. Monthly tracking of resource assignments.
- 5 to 10 years of experience in a similar position.
- Knowledge of the construction field.
- Proficiency in Microsoft Office suite software.
- Ability to manage multiple files simultaneously and meet deadlines.
- Autonomy, rigor, proactivity, and strong organizational skills.
- Possess solid leadership and proven ability to collaborate effectively in a team.
- Advanced level of french.
