What Would You Do?
The Legal Assistant will play a key role in supporting the Corporate Services’ business group in meeting their objectives through the proactive and professional delivery of legal, technical, administrative and customer service activities..
The key duties and responsibilities of this position would include, but are not limited to:
- This position reports to Senior Vice-President Corporate Services (SVP)
- Legal and Corporate Governance: Preparation and maintenance of documents for the qualification of global legal entities, filing of annual returns across U.S. states and Canadian provinces, drafting of annual resolutions and minutes, and applying electronic signatures for executives and legal staff.
- Contracts and Agreements: Drafting and managing Design Agreements, Sales Representative Agreements (Canada and U.S.), Custom Studio Agreements, and Independent Sales Rep Agreements. Coordinating signatures, maintaining physical and digital records, and assisting with agreement summaries.
- Asset Management: Maintaining databases for leases and square footage across corporate properties, assisting with drafting and renewing lease agreements, managing the TIPPS tax program, supporting property tax appeals, and organizing real estate files on SharePoint.
- Intellectual Property: Maintaining records of trademarks, patents, design registrations, and related agreements; supporting registration and renewal processes; and conducting trademark searches for potential conflicts.
- Immigration Support: Assisting with the preparation of work permits and permanent residency documents, document legalization, and preparing invitation letters for cross-border employee travel.
- Additional Administrative Duties: Tracking environmental data, logging legal payments, scanning invoices, managing closed files, updating vacation records in Dayforce, reconciling credit card expenses in Concur, and scheduling meetings for supervisors.
- Over 5 years of experience in administrative support within a corporate legal environment.
- Proven ability to manage high-demand situations and perform effectively under pressure.
- Holds a Legal Assistant Certificate/Diploma with a focus on business correspondence, communication, and time management.
- Completed Grade 12 education. Proven ability to work independently with minimal supervision, using sound judgment, tact, and diplomacy.
- Strong organizational skills with the ability to coordinate multiple projects independently and with minimal supervision.
- Exceptional communication and interpersonal abilities.
- High level of discretion, with the ability to maintain confidentiality on sensitive projects.
- Demonstrates tact and diplomacy in all interactions.
- Expert user of MS Office applications, including advanced Excel skills.
- Proficient in using and troubleshooting standard office equipment.
- Knowledge of online filing processes across various U.S. states and Canadian provinces.
- Typing speed of at least 60 words per minute.
