About the Role
As the Customer & Office Coordinator, you are at the heart of our daily operations, creating a positive experience for both our customers and internal team. With a natural ability to communicate and a keen eye for detail, you ensure every interaction is welcoming, helpful, and aligned with our brand values. From answering customer inquiries and managing accounts, to supporting office logistics and administration, you bring order, energy, and reliability to the team. Your support keeps us connected, organized, and able to deliver the level of service Coghlan’s is known for.
Specific Responsibilities
- Develop a strong understanding of Coghlan’s brand and product line to represent us with confidence and clarity.
- Foster a warm, professional environment across all touchpoints—whether in person, by phone, or over email.
- Act as the primary contact for both B2B and D2C customer inquiries—log communications, troubleshoot issues, collaborate with internal teams, and coordinate solutions including replacements and order creation.
- Support customers beyond the point of purchase by managing orders, invoicing, and account concerns such as shortages, overages, missed shipments, out-of-stocks, and vendor compliance.
- Answer and direct incoming calls, address inquiries, and take detailed messages as needed.
- Provide cross-departmental administrative support including data entry, reporting, invoice approvals, dispute resolution, calendar updates, and document management.
- Coordinate outgoing mail, small parcel shipments, and courier services to ensure timely delivery.
- Maintain inventory of office and lunchroom supplies and place replenishment orders when needed.
- Keep common areas—including office supply zones and the lunchroom—organized and well-stocked.
- Plan and coordinate company events, staff gifts, and seasonal initiatives such as holiday parties and employee recognition.
- Oversee the management of the company’s season ticket subscription and related logistics.
Candidate Requirements
- Previous administrative assistant or reception experience is helpful
- Excellent written and oral communication skills
- Customer-centric and self-motivated
- Strong problem-solving and interpersonal skills
- Strong knowledge of MS Office products and ability to learn Coghlan’s ERP Business Central
- A passion for camping and outdoor recreation is considered an asset
