We are seeking a highly motivated and proactive Administrative Assistant to provide comprehensive support to our Executive director. In this role, you will have the opportunity to handle various administrative tasks as well as small projects in a growing organization.

Key responsibilities

  • Provide high-level administrative support, including managing complex calendars, scheduling meetings, and coordinating travel arrangements.
  • Serve as a primary point of contact for internal and external stakeholders, fielding inquiries and directing them appropriately.
  • Prepare and edit correspondence, reports, presentations, and other documents with meticulous attention to detail.
  • Organize and maintain physical and electronic filing systems, ensuring efficient retrieval of information.
  • Handle confidential information with discretion and professionalism.
  • Process invoices, expense reports, and other financial documentation accurately and in a timely manner.
  • Independently manage and execute small-scale projects from start to finish, demonstrating strong problem-solving skills and accountability.
  • Conduct research, compile data, and prepare summaries to support various initiatives.

Skills and qualifications

  • Bachelor's degree required.
  • 3 years of administrative experience, preferably in a fast-paced environment.
  • Demonstrated ability to take initiative, anticipate needs, and work independently with minimal supervision.
  • Proven track record of managing small projects and seeing them through to successful completion.
  • Exceptional organizational and time management skills with the ability to prioritize and multitask effectively.
  • Superior written and verbal communication skills, with a keen eye for detail and grammar.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong interpersonal skills and the ability to build positive working relationships.
  • Discretion and ability to handle sensitive and confidential information with integrity.
  • Problem-solving aptitude and a proactive approach to challenges.
