We are seeking a highly organized and dependable Administrative Assistant to support the daily operations of our busy shipping office within the distribution center. This role is ideal for someone who thrives in a fast-paced environment, enjoys detail-oriented work, and values being a part of a team that helps keep product moving on time.

This is a 6-month contract role.

Responsibilities

Shipping & Logistics Support

  • Prepare and process shipping documents including BOLs, packing slips, and customs paperwork
  • Communicate with carriers, vendors, and warehouse teams to coordinate outbound shipments
  • Track and trace shipments; provide updates as needed to internal stakeholders
  • Schedule pick-ups and delivery appointments with carriers
  • Maintain shipping records and ensure documentation accuracy
  • Support problem resolution for shipment delays or discrepancies

Administrative & Office Coordination

  • Manage data entry and update databases and logs related to inventory, orders, and shipping activity
  • Answer phones and respond to shipping-related inquiries in a timely and professional manner
  • Prepare reports and shipping summaries for leadership as required
  • Support inventory counts and cycle audits with documentation support
  • Maintain office and shipping supplies inventory
  • Ensure office equipment is functioning and coordinate maintenance when necessary

Compliance & Recordkeeping

  • Ensure all shipping activities meet company policies and government regulations
  • File and retain shipping and compliance documentation in line with retention requirements
  • Assist in internal or external audits related to shipping and logistics
  • Report and document any discrepancies or incidents involving shipments

Qualifications

Requirements

  • 1–2 years of experience in an administrative or logistics support role
  • Strong computer skills, including Microsoft Office (Excel, Outlook, Word)
  • Comfortable working in a warehouse or distribution center environment
  • Excellent communication skills, both written and verbal
  • Detail-oriented with strong organizational and time management skills

Preferred

  • Previous experience in a shipping office, distribution center, or logistics company
  • Familiarity with ERP systems, TMS platforms, or shipping software
  • Knowledge of shipping documentation
