This role is focused on supporting our engineering and production departments with document control, schedule updates, hour tracking, and technical coordination. Who You Are

You are a proactive and detail-obsessed administrative professional who thrives in an engineering and manufacturing environment. You are capable of managing multiple tasks under deadline, following up without reminders, and anticipating the needs of the teams you support. You communicate clearly, prioritize effectively, and bring structure and organization to technical operations. Your ability to maintain accuracy and confidentiality will be key to your success.

Responsibilities

  • Print and distribute engineering drawings, work orders, and quality documents

  • Maintain and update the production schedule using Smartsheet

  • Track and enter hours for production and project tracking using Excel and ERP system

  • Coordinate document control and change notices for production and engineering workflows

  • Assist with work order status updates and project follow-through

  • Support the purchasing team with overflow buying related to production needs

  • Help reconcile job costing data in coordination with accounting

  • Maintain organized digital and physical records for production and technical documents

  • Provide occasional reception back-up and general admin support as needed

  • Ensure clear communication and follow-up between engineering and production teams

Requirements

  • Minimum 2 years of related experience in a construction, trades, manufacturing, or technical environment

  • College-level education or equivalent work experience in operational support or office administration

  • Intermediate proficiency in Microsoft Office (especially Excel); ability to learn new systems quickly

  • Strong time-management skills with the ability to handle multiple priorities under pressure

  • Exceptional attention to detail and accuracy

  • Excellent written and verbal communication skills

  • Proven ability to work independently and collaboratively with technical teams

  • Maintains confidentiality and professionalism at all times

  • Positive attitude and excellent attendance record

Compensation and Work Schedule

  • Salary: $50,000–$70,000 annually, dependent upon qualifications and experience.

  • Hours: Full-time, 40 hours per week, Monday to Friday.

  • Schedule: 8:00 AM – 4:30 PM.
