The Clinic Operations Coordinator partners with the Clinic Manager by ensuring effective workflow and processes of the day to day operations in the clinic and facilitating high-level of client care. You also get to work closely with a diverse team of clinicians and administrative staff!

The Clinic Operations Coordinator partners with the Clinic Manager by ensuring effective workflow and processes of the day to day operations in the clinic and facilitating high-level of client care. You also get to work closely with a diverse team of clinicians and administrative staff!
Here’s how:
- Under the direction of Manager, Operations or Team Manager, Operations, provide direction to clinical staff regarding daily patient workflow to ensure all duties are outlined, assigned and managed in accordance to TELUS high client care standards
- Assist the daily operations such as staffing and scheduling as well as monitoring of absences/vacation to ensure full coverage
- Conduct bi-monthly meetings with the clinicians and administrative staff to improve efficiency and quality of service to patients
- Organize and coordinate the daily operations of the patient flow, reception activities including billing, break coverage, as well as monitoring staff scheduling to ensure full coverage during absences/vacations
- In collaboration with the Clinic Director and Clinic Manager, set and implement standards, policies and processes designed to maintain a consistent presence
- Participate in special projects and quality assurance initiatives
- Assist with all other duties as required including answering phones, filing, copying, preparing clients for tests and examinations etc.
- Scheduling appointments and arranging for specialist consultations
- Contacting clients to remind them of required tests, examinations and follow up consultations
- Connecting with clients, supporting continuity of care
- Provide support for general office administrative functions including medical records management
- 2-3 years of relevant experience working in a fast paced environment, providing a high degree of customer service
- Previous experience in planning and coordination strongly preferred
- Excellent command of the English language, both verbal and written
- Exhibits a professional image, mature communication style and polished manner with clients
- Ability to handle sensitive situations with tact while respecting patient confidentiality at all times
- Self-starter who demonstrates attention to detail, a high level of accountability and sound judgement
- Demonstrates flexibility and the ability to work effectively in a team environment
- Works well under pressure and demonstrates a sense of urgency in completing time sensitive tasks
- Demonstrates effective organizational, multitasking and problem solving abilities
- Proficient with Microsoft Office applications (Word, Outlook, Excel and PowerPoint)
