Under the direction of the Accounts Payable Coordinator, the Accounts Payable Clerk scrutinizes and performs data entry for a variety of source documents such as Request for Payments, Invoices, Journal Entries, and Vendor Requests and prepares documents such as the Stop/Copy/Cancel form as required. These impact all aspects of the procurement process such as the Master Vendor File, Purchasing, Accounts Payable, General Ledger, Projects/Work Orders, Financial Feeder System and Commitment Control.
As the A/P Clerk B, you will:
- Scrutinize all incoming documents for Accounts Payable, General Ledger and Vendor Master.
- Enter data into PeopleSoft Financials, alphabetic and numeric information from a variety of documents including: Invoices, Request for Payments, Journal Entries, and Vendor Requests. Identifies and resolves all discrepancies.
- Communicate with users by responding to telephone, email, and in person inquiries from the general public, vendors and City departments.
- Process all files that are routed through the Financial Feeder System.
- Maintain all filing/archival systems related to Accounts Payable, General Ledger and Vendor Master documents.
- Process all work order requests and corresponding budget entries.
- Maintain HR account codes.
- Process all requests for cheque cancellations.
Your education and qualifications include:
- High School graduation with additional relevant business courses or equivalent combination of education and experience.
- Previous experience working with Accounts Payable and General Ledger required.
- Working knowledge of accounting procedures and principles.
- Demonstrated aptitude with figures including a high degree of accuracy and attention to detail.
- Proficiency (Advanced) with programs such as Microsoft Word, Excel, Outlook and Adobe Acrobat.
- Ability to type 40 words per minute, and perform accurate data entry.
- Ability to organize work, set priorities, meet deadlines and identify and resolve problems.
- Ability to exercise sound judgment and work under minimum supervision.
- Ability to maintain effective working relationships and to communicate effectively with the general public, vendors and co-workers.
