Junior Project Manager – Communications and Engagement

WRHN is implementing a Multi-Year Facilities Redevelopment Master Plan to facilitate building a regional system of care that will meet the growing needs of the local community, expected to grow to 1 Million by 2050, and provide care closer to home for decades to come.

Led by the Vice President, Redevelopment, the Redevelopment Team works collaboratively across WRHN to plan, design, and implement all components of the Multi-Year Facilities Redevelopment Master Plan. The plan includes:

  • a new, state-of-the-art hospital site in Waterloo (WRHN @ The University);
  • renovating and expanding the existing WRHN @ Midtown Site as an ambulatory and urgent care centre;
  • expanding WRHN @ Chicopee in Kitchener for modernized and expanded rehabilitation capacity and;
  • maintaining WHRN @ Queen’s Blvd. to continue to deliver excellent care and service to our communities until approximately 2035.

Please Note: New employees must provide documentation/proof of COVID-19 vaccination status, a 2-step TB test, as well as proof of immunity to measles, mumps, rubella, and varicella (chickenpox) prior to their start date at Waterloo Regional Health Network (WRHN). New Employees will require clearance from Employee Health, Safety and Wellness before they are able to begin any position within WRHN.

Position Summary :

Reporting to the Director, Project Communications and Engagement, the Junior Project Manager will provide project management expertise and support in alignment with all associated communications and engagement plans for all aspects of the Multi-Year Facilities Redevelopment Master Plan. The Junior Project Manager will work with internal and external audiences to ensure development, implementation, and evaluations of the communications and engagement plans’ initiatives to ensure they are delivered on schedule, effectively coordinated, well documented and appropriately implemented. The role will be a key liaison and supportive link between Redevelopment Team members and internal and external audiences. There will be a requirement to work in collaboration with WRHN’s Corporate Communications team and the WRHN Foundation’s communications team.

The Junior Project Manager will be responsible to:

  • Work collaboratively with Communications and Engagement Team to develop, implement, evaluate and maintain a robust project communications and engagement plans aligned with all aspects of the Multi-Year Facilities Redevelopment Master Plan.
  • Work collaboratively with Communications and Engagement Team to plan and execute engagement activities to support internal and external stakeholders.
  • Responsible for all logistical requirements of engagement activities, using the standard and approved team templates
  • Ensure best practice tracking of engagement activities using Redevelopment Team’s approved template.
  • Collaborate with community groups to identify project-specific engagement interests, preferred engagement approach and activities.
  • Work with Communications and Engagement Team to support Redevelopment Project Patient Family Advisory Council.
  • Ensure all engagement documentation is regularly updated and posted to the Redevelopment Team’s SharePoint in the designated folders.
  • Work with the Director, Project Communications and Engagement to identify communications collateral development to support engagement activities.
  • Provide conceptual, writing, editing and graphical design support to develop communication and engagement materials. Liaise with design and print vendors as required.
  • The ability to work with multiple audiences on plans and products such as publications, websites, social media and events is essential.
  • Develop meeting and presentation materials including PowerPoint slide decks and briefing notes.
  • Create and update presentations, briefing notes, reference resources, process flows, etc. in collaboration with redevelopment team members.
  • Ensure timely response and follow-up to internal and external audience requests and inquiries.
  • In collaboration with the Director, Project Communications and Engagement, develop interim and final (annual) Project engagement reports to support Ministry of Health reporting requirements.
  • Engage with the Corporate Communications and Foundation Communications and Marketing teams to proactively pursue opportunities for collaboration, partnership, and integration of internal and external engagement opportunities.
  • Excellent consultation, facilitation, negotiation, problem solving and collaboration skills with an exhibited ability to gain timely consensus and alignment of multiple impacted and interested parties
  • Demonstrated ability to conduct all duties and responsibilities in a manner that is consistent with the mission, vision and values of WRHN and a commitment to promote positive relationships when dealing with patients, families, visitors, volunteers, staff, professional and external partners
  • Demonstrated ability to foster a collaborative team environment and provide support to team members
  • Excellent organizational and time management skills
  • Demonstrated ability to be a proactive self-starter, flexible and adaptive to changing needs, and thrive autonomously in a complex, dynamic and at times ambiguous environment is essential
  • Other duties as assigned by the Director.

Position Requirements:

  • An undergraduate degree in Communications, Journalism, Marketing, Public Relations and/or relevant program.
  • Proficient in MS Office Suite including MS Word, Excel, MS Project, MS Visio, SharePoint, Adobe Creative Suite applications, Canva, website updating, and social media knowledge and posting is preferred.
  • A minimum of 3 years of experience coordinating, implementing and monitoring communications and engagement plans aligned with project deliverables both with internal and external audiences (within a healthcare setting will be considered an asset).
  • A combination of education and experience will be considered
  • Strong and sophisticated writing skills with an ability to effectively adapt to different audiences
  • High level of initiative and critical thinking
  • Highly developed influencing, communications and presentation skills
  • Consultation, negotiation and consensus building skills
  • Experience in finding positive solutions to complex issues and problems with a variety of stakeholders
  • Ability to maintain confidentiality at all times
  • Excellent interpersonal, communication, and organizational skills
  • Demonstrated ability to manage complex and concurrent project activities, meet deadlines and manage change is essential
  • Experience in a Service hospital setting is an asset
