Our client is an established boutique mortgage lending firm looking for a dedicated Executive Assistant to play a key support role for their President. You bring to the table a client-service focused attitude, exemplary organizational skills with a keen eye for detail. The ideal candidate will demonstrate a diligent, proactive, and motivated work-ethic in this multi-faceted role within a collaborative environment.


  • Location: Vancouver, BC
  • Salary: $65,000 - $72,000 per year
  • Work model: Fully in-office


Responsibilities:


Executive Assistant duties:


  • Monitoring & responding to emails.
  • Handle personal administrative tasks such as document filing, maintaining records, and managing communications.
  • Manage calendars, schedule meetings, and coordinate travel arrangements for the president.
  • Attend meetings as needed.
  • Attend social events on occasion.
  • Plan and organize team events, meetings, and special projects as required.
  • Serve as a point of contact between president & other executives.
  • Provide personal support to the president, including managing personal appointments, and errands as needed
  • Act as a trusted liaison to ensure seamless coordination between personal and professional obligations.


Mortgage Administration duties:


  • Provide administrative support to a team of brokers
  • Effectively handle phone and email correspondence from clients, brokers & lawyers.
  • Initialize the setup of new files for clients obtaining a home equity loan.
  • Liaise with clients, brokers, lenders, and underwriters to gather required documentation and information.
  • Cross training in other mortgage admin – funding, payouts, insurance.
  • Any work required to be performed in relation to the follow-up of the day-to-day activities of the company


Requirements:


  • 1-2 years of executive assistant experience
  • Strong command of the English language (written and verbal)
  • Strong phone etiquette
  • Proficiency using the MS Suite
  • Post-secondary education. Degree or diploma
