THL Gourmet Foods Inc. is one of the leading importers and distributors of Asian food products from the Pacific Rim and other regions of the world. We are currently looking for a Purchasing Administrator to join our Purchasing team in our BC office.

Position Summary:

Reporting to the Inventory Planning Manager, the Inventory Planning Administrative Assistant supports the coordination of inbound shipments, inventory transfers, and customs compliance. This role involves working closely with internal teams and external partners to ensure accurate documentation and timely communication. It’s an excellent opportunity for someone looking to grow in supply chain and logistics within a fast-paced, team-oriented environment.

Job Responsibilities:

  • Coordinate and monitor the weekly inbound shipment schedule.
  • Liaise with freight forwarders, steamship lines, and trucking companies to track and follow up on import shipment statuses.
  • Support customs compliance and maintain accurate import documentation.
  • Arrange and follow up on inter-warehouse and inter-division stock transfers.
  • Enter, update, and maintain data in ERP and internal systems with a high degree of accuracy.
  • Coordinate casual labor support for warehouse operations based on operational needs.
  • Assist in departmental projects and provide general administrative support to the inventory planning team.
  • Communicate proactively with internal teams (Warehouse, Purchasing, etc.) to ensure timelines and expectations are met.

Requirements / Must-Haves:

  • Post-secondary education in business, supply chain, or a related field is preferred.
  • A minimum of 2 years of experience in administrative or logistics support roles.
  • Strong attention to detail and accuracy in data entry and documentation.
  • Proactive, self-motivated, and able to work independently while managing multiple priorities.
  • Comfortable working under pressure and meeting tight deadlines.
  • Excellent communication skills in English, both written and verbal.
  • Proficient in Microsoft Office 365, especially Excel and Outlook.

Assets / Nice-to-Haves:

  • Prior experience in logistics, supply chain, or import/export administration.
  • Familiarity with ERP systems and inventory control processes.
  • Proficiency in Microsoft 365 (Word, PowerPoint, Excel, and Outlook).

Compensation & Benefits:

  • Expected Hourly Wage: $20.00 to $22.00
