Job Summary
The Payroll Coordinator is responsible for managing and executing the full-cycle bi-weekly payroll process for AFD Petroleum Ltd. across both the USA and Canada. This role ensures payroll is processed accurately and on time, in compliance with all applicable federal, provincial, and state regulations. In addition to core payroll functions, the Payroll Coordinator administers payroll-related reporting and supports programs including Canadian benefits, RRSPs, the Health & Wellness Plan, and the U.S. 401(k). The role also plays a key part in maintaining robust internal controls to ensure the security and integrity of the payroll systems.

Monday to Friday (8:00 am-5:00 pm), in the Edmonton head Office

What you will do day-to-day:
- Process and administer both Canadian and USA bi-weekly payroll in ADP for all salaried and hourly employees
- Ensure payroll accuracy and timeliness in accordance with federal, provincial, and state legislation.
- Maintain and update employee payroll records, deductions, and tax withholdings.
- Compiled payroll-related data for processing, including garnishment, reimbursement, bonus, commission, employee fuel account deductions, and other miscellaneous deductions
- Prepare and distribute payroll-related reports for internal and external stakeholders.
- Support the administration of Canadian benefits programs, including RRSP contributions, U.S. 401(k) retirement savings plan, and the Health & Wellness Plan
- Respond to payroll-related inquiries from employees and management in a timely and professional manner.
- Ensure completion of Year-end processing, including T4s (Canada), W-2s (USA), and other required tax documentation.
- Participate in payroll & WCB audits and support continuous process improvements.
- Identifying and implementing process improvements and best practices in payroll administration.
- Support & ensure WCB assessments & remittances are completed for British Columbia, Alberta, Yukon, and the Northwest Territories regarding dues.
- Support and ensure BC EHT assessments & remittances are up to date.
- Reviewing payroll variances, resolving discrepancies,
- Coordinating with managers regarding missed or unapproved time entries and resolving ADP errors.
- Support the HR Team in various tasks, including Onboarding, Offboarding, Recruitment, Employee training, and Inquiries, and supporting the HR inbox requests.
- Other related duties as required or assigned.
What yoU need to succeed:
- PCP Certification required from the National Payroll Institute or obtainable.
- Certified Payroll Professional or Fundamental Certification-USA.
- Post-Secondary Diploma in another relevant field suitable for Payroll.
- 5+ years’ experience in full cycle payroll.
- Canadian and USA Benefits, RRSP, 401K.
Other Skills (Knowledge)
- Proficient in payroll software and systems (e.g., ADP, or similar)
- Strong understanding of Canadian and U.S. payroll legislation, taxation, and compliance.
- Strong problem-solving and analytical skills for troubleshooting payroll discrepancies
- Advanced proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Excellent written and verbal communication skills with the ability to draft clear, concise, and legally sound documents.
- Comfortable working independently and collaboratively in a fast-paced environment
- Strong attention to detail, organizational, and time-management skills.
- Adaptability to change regulations, systems, or company policies
