At Hive, we are dedicated to creating moments that matter by connecting event marketers to their biggest fans. We’re hiring a Strategy and Operations Coordinator to join the Office of the CEO, reporting directly to our Chief of Staff. This is a high-trust, fast-paced role ideal for someone who thrives on structure, communicates clearly, and brings strong follow-through to everything they do.

What does being a Operations Coordinator at Hive look like?

You’ll work closely with the CEO and Chief of Staff to keep high-priority initiatives moving with clarity and momentum. From coordinating cross-functional projects to managing internal workflows and documenting decisions, you'll bring organization and accountability to fast-moving work. You’ll have the opportunity to support strategic projects, conduct research, and leverage AI tools to improve speed and execution. If you're eager to learn how a company operates from the inside out and love solving problems, this role is for you. This is not an “admin” job, it’s a launchpad. You’ll be working side-by-side with the people driving the business forward, with a front-row seat to how strategic decisions are made and executed. You’ll get exposure to company-wide operations and the chance to grow into a high-impact operator.

What you’ll do:

  • Drive high-priority projects: Coordinate timelines, deliverables, and execution for strategic and operational initiatives owned by the Office of the CEO. Ensure momentum, accountability, and smooth handoffs.
  • Support internal communication & documentation: Capture meeting notes, synthesize key takeaways, and maintain clean, up-to-date resources in Notion and Google Docs.
  • Bring clarity to complexity: Track moving parts, flag blockers, and support decision-making with clear updates and next steps. Help leadership stay organized, aligned, and in motion.
  • Own day-to-day operations: Manage calendar logistics,support strategic rhythms like All Hands, Quarterly Kick Off, and offsite planning to keep the Office of the CEO running smoothly.
  • Use AI tools to work smarter: Leverage ChatGPT, Claude, and other AI platforms to summarize notes, accelerate research, and organize workflows faster and better.
  • Support high-leverage work: Pitch in wherever needed — from building prep docs, drafting internal updates, and conducting research, to coordinating across teams on cross-functional projects.

What you bring to the table:

  • 1–3 years of professional experience (or equivalent projects, internships, or academic work) with a track record of reliable execution and strong follow-through.
  • Detail-oriented and execution-focused: You naturally spot gaps, catch errors before they become problems, and keep projects moving with precision. You follow through, hold others accountable, and ensure nothing slips through the cracks.
  • Clear and confident communicator: You write and speak with clarity, distill complex information into actionable insights, and keep stakeholders aligned through thoughtful, timely updates.
  • Tech-savvy and curious: You’re excited to try new tools, figure things out, and use AI and productivity platforms to move faster.
  • Independent and accountable: You’re comfortable taking ownership and asking for clarity when needed, not waiting to be told what to do next.
  • Energized by startups and ambiguity: You thrive in a fast-moving environment, enjoy solving problems, and aren’t afraid to jump into something new.
  • Hungry to grow: You want to level up fast and see this role as a launchpad into operations, strategy, or leadership roles over time.

Bonus experience:

While not required, any of the following would be a plus:

  • Experience supporting a senior leader or executive (internship or full-time)
  • Exposure to startups, consulting, business operations, or Chief of Staff roles
  • Familiarity with Notion, Slack, Asana, and Google Workspace
  • Demonstrated initiative (e.g., ran a side project, student group, or blog)
