SmartICE is looking for a Community Operations Coordinator. This role provides adaptive, hands-on support to the Operations Team, working closely with the Manager of Community Operations and Operations Leads to strengthen coordination across departments and with Northern communities. It’s a dynamic position focused on clear communication and keeping daily operations running smoothly. Based out of our St. John’s office, in a hybrid capacity, the role supports a multi-faceted, travel-based team operating across time zones. Flexibility and comfort with evolving responsibilities are essential.

SmartICE is an award-winning technological innovation for the North. SmartICE offers a suite of climate change adaptation tools that integrate Indigenous and local knowledge of ice with advanced data acquisition, remote monitoring and satellite mapping for ice travel safety. Our community-based services provide invaluable, data-supported insights into ice thickness and local ice travel conditions, in near
real-time.

What you will do:

  • Act as a central point of contact between the Operations team and cross-functional departments (Engineering, Finance, Communications) to ensure smooth coordination and communication.
  • Support the Manager of Community Operations by organizing team deliverables, meetings, schedules, and digital documentation.
  • Build and maintain a centralized database of key community contacts for all Northern communities where SmartICE operates.
  • Coordinate Pre-Season and Post-Season communications between communities and Operations Leads to ensure preparedness and successful engagement.
  • Maintain regular contact with communities during Ice Season, serving as a secondary/emergency point of contact to address needs and route inquiries.
  • Ensure community contact information is regularly updated and maintained in collaboration with Operations Leads.
  • Assist with travel planning, supply tracking, and equipment logistics by working closely with relevant team coordinators.
  • Help ensure administrative accuracy by supporting Operations Leads with timesheets, expense claims, receipts, and other financial documentation.
  • Maintain and update digital tools, templates, and resources used by the Operations Team.
  • Support implementation of SOPs, track task completion, and follow up with team members to ensure deadlines and priorities are met.

What you bring:

  • Demonstrated experience in administrative support, task coordination, or operational roles
  • Post-secondary education in administration, project management, o Strong organizational skills with the ability to manage multiple priorities effectively
  • Exceptional communication and interpersonal abilities
  • Highly adaptable with a proactive, solution-oriented mindset
  • Proficient in project management tools and cloud-based collaboration platforms
  • Self-motivated and capable of working independently or collaboratively in team settings
  • Detail-oriented, dependable, and consistently reliable
  • Collaborative team player with excellent communication skills
  • Flexible and positive attitude toward both routine and ad hoc responsibilities
  • Composed and dependable presence in fast-paced, dynamic environments
  • Proven ability to prioritize, multitask, and adjust to evolving priorities

  • Skilled in recognizing and adapting to diverse communication styles r a related field considered an asset

The Details:

  • Full-time
  • Hours: 35 hours per week
  • Adjusted work schedule: 10am-6pm or, 11am -7pm or , 12pm-8pm
  • Hybrid & Casual Work Environment – position will require in-office training to start.
