The Independent Assistance Living Coordinator, (ILA Coordinator) under the direction of the Area Director, is responsible for managing all aspects of life to support and enhance a client’s quality of life. The ILA Coordinator will implement effective best practices that allows paraprofessionals to achieve excellence in the delivery of care and service to clients. They will ensure compliance with internal and external standards of practice and Provincial regulatory requirements. The ILA Coordinator will set up and manage leasing, utilities, in collaboration with our leasing team and area director and ensure all safety aspects of a renovations are completed prior to start of service for overall client safety.

Duties And Responsibilities

  • Assist client in locating possible residence(s) which duties include but not limited to: communicating with landlord, manage viewing appointments, review and determine residence upkeep including renovations;
  • Follow funder approval requirements for proposed upkeep or renovation events e.g., residence costs, installation costs, furniture costs,
  • Participate and manage purchasing of residence items such as groceries, furniture, dishes, toiletries, and other items.
  • Document and maintain tracking with duties related to creating financial spreadsheets, billing and invoicing, distribution of allowances, accounts payable, accounts receivable and collaborate with the Area Director, Manager of Clinical Practice, and shared services where applicable for support.
  • Bi-weekly submission of utility invoices as per current ILA file process;
  • Manage residence set up including installation of curtains, bed assembly, kitchen, and other events.
  • Coordinate and meet with contractors as it relates to completion of renovation required for employee and client safety and to gain access to the residence;
  • Manage and maintain utility set up and updates.
  • Manage and maintain funder communication related to required authorizations of services, transition shifts from facility to community, billing and invoicing, repairs/new equipment, and set-up costs where applicable.
  • Adhere to client reference process as it relates to post prepayment amounts when funds are received through electronic funds transfer and the AR Cash App;
  • Enter amounts from EFT into financial tracking sheet for each ILA file such as rent, allowances, grocery monies, transportation, utilities, and other administrative fees.
  • Planning, directing, and evaluating the activities relating to travel, accommodation, memberships and transportation needs.
  • Communication with finance department to ensure Aged Trail Balance (ATB) Reports remain current and report any deficiencies to Area Director.
  • Participate in ongoing internal and/or external continuing education activities.
  • Adhere to Bayshore Policies and Procedures.
  • Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System.
  • Participates in proactive Health & Safety activities while performing all duties. Is responsible to notify immediate Supervisor of any Health & Safety risks or concerns.
  • Maintains confidentiality of client and corporate information and discusses same only with appropriate Bayshore personnel.
  • Complete other tasks as requested or required by the Area Director or designate.

Education

Post-secondary degree or diploma in a related discipline.

Experience

More than two years of experience in a customer service, coordination, or high-volume administration. Experience with travel bookings, calls, document production, research, and general administration. Knowledge of billing and government funding, residence inspection and safety regulations, accounts payable and accounts receivable.

Other Skills And Abilities

Exceptional organizational and interpersonal skills; proven ability to work both independently and as part of a team; ability to make sound judgement decisions, meet deadlines and strong commitment to continual learning; ability to operate all standard office equipment; proficiency in written and spoken English. Proven computer literacy in Microsoft Office Suite with an adaptability to handle database programs. Excellent communication skills and the ability to collaborate effectively with cross-functional teams. Strong attention to detail and has demonstrated multi-tasking skills.
