The Operations Office Support plays a key role in assisting the Operations Administrative Assistant with a variety of administrative tasks. This position ensures smooth and efficient office operations, supports organizational growth, and maintains a high standard of professionalism, confidentiality, and communication with internal and external stakeholders. The role requires a proactive individual who can take direction while also working independently to achieve departmental objectives. Additional duties may be assigned as needed.
Job responsibilities include, but are not limited to:
Coordinate office activities and ensure compliance with company policies and procedures
Provide administrative support to multiple departments
Generate purchase orders (P.O.s) for local and import growers, monitor inbound shipments, and record inbound freight details
Submit timely and accurate reports
Maintain and update databases for incoming P.O.s and daily receipts
Monitor and record contract or market prices for each line item
Ensure P.O. prices, invoices, confirmations of sale, and inspection certificates are current
Upload manifests, bills of lading (B.O.L.), and inspection certificates to the server
Check and update the Quality Report Cumulative database
Distribute quality reports and failed inspection certificates to growers
Format and organize reports and documentation to ensure accuracy and consistency before vendor submission
Maintain both physical and electronic filing systems for efficient storage and retrieval
Extract and analyze data to prepare supporting reports for departmental use
Provide backup coverage for department colleagues as needed
Monitor and replenish office supplies used within the department
Ensure the confidentiality and security of all sensitive files and documentation
Qualifications:
Knowledge of Microsoft Excel. Experience with Famous Software and the produce industry is an asset
Strong computer and data entry skills with high attention to accuracy
Excellent organizational, time management, and problem-solving abilities
Capable of managing multiple tasks with great attention to detail
Self-motivated and able to work independently with minimal supervision
Willingness to take initiative and ownership of responsibilities
Availability to work on Saturdays and holidays as required
