Automotive Service Advisor Job Description And Primary Job Functions

SUMMARY: Directs and coordinates activities concerning diagnosis and repair of vehicles. Controls workflow and shop environment. Ensures compliance with all regulations concerning vehicle repair and environmental concerns.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Legal, Safety & Compliance (Highest Priority)
  • Observe and adhere to all AMVIC and OH&S rules and regulations.
  • Adhere to all OH&S safety rules and city/county safety regulations (e.g., fuel spill cleanup).
  • Wear appropriate safety equipment as needed.
  • Immediately report any damage to shop equipment or facilities. Fill out incident report as needed.
  • Attend company-related work and safety meetings.
  • Follow all management-issued rules (e.g., employee handbook, written/post updates).
  • Quality Control & Repair Standards
  • Ensure all work is performed to proper specifications and company standards.
  • Road-test vehicles to confirm customer issues are resolved. (When necessary)
  • Observe and execute proper work procedures and company policies.
  • Ensure each vehicle is inspected for cleanliness before release to the customer.
  • Insist that fender covers, floor mats, and seat covers are used on every vehicle.
  • Ensure all under-car, under-hood and preventive maintenance inspections and reports are accurate.
  • Customer Service & Communication
  • Meet and greet every customer in a manner that maximizes satisfaction and repair integrity.
  • Use phone and other communications professionally to build long-term relationships.
  • Contact customers and present needed repairs professionally and persuasively.
  • Act in a professional, honest, and respectful manner representing the company.
  • Green = Pass or Recommended Maintenance Interval
  • YELLOW = Not a safety concern, but should be addressed
  • RED = Requires immediate attention/safety concern
  • Estimating, Dispatch & Repair Process Oversight
  • Prepare estimates to ensure profitability while maintaining customer satisfaction.
  • Order parts from appropriate sources based on quality and customer needs.
  • Complete every work order according to provincial law with accurate estimates.
  • Dispatch work to the appropriate technician to ensure timely and quality repairs.
  • Ensure all authorized work is completed and billed properly. Finalize repair orders for invoicing.
  • Leadership & Supervision
  • Train, coach, supervise, and direct new department employees.
  • Coordinate automotive repair and maintenance services for maximum efficiency.
  • Remain flexible in your duties and offer help wherever needed
  • Operational & Administrative Duties
  • Maintain a cost-conscious attitude toward all company spending.
  • Maintain a positive attitude and support team concept.
  • Work with teammates to ensure proper staffing levels during operating hours (M–Th 7:30 AM–5:30 PM, Fri 7:30 AM–5:00 PM).
  • Other duties as assigned.

SUPERVISORY RESPONSIBILITIES: Directly supervises 2 to 10 employees in the service facility. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION/EXPERIENCE: Associate degree (A. A.) or equivalent from two-year college or technical school; or three years to five years related experience and/or training; or equivalent combination of education and experience. Graduation from an industry-recognized service writers training program.

LANGUAGE SKILLS: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Must read and write English proficiently.

MATHEMATICAL SKILLS: Ability to work with mathematical concepts, such as probability and statistical inference. Ability to apply concepts, such as fractions, percentages, ratios, and proportions to practical situations. Ability to calculate gross profit.

REASONING ABILITY: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

CERTIFICATES, LICENSES, REGISTRATIONS:

Current driver’s license.

Proof of minimum state required insurance on personal vehicle.

Driving record acceptable to our current insurance carrier.

OTHER SKILLS and ABILITIES:

Ability to operate computer system.

Must have good people skills, outgoing.

Must have good communication skills.
