The Role
We are seeking a detail-oriented and operationally savvy Trip Support Specialist to join our Flight Operations team. This role is pivotal in ensuring the safety, efficiency, and logistical success of our fleet trips. You will collaborate closely with the Executive Assistant group, flight crews, and the Aircraft Travel Coordinator to support trip planning, flight following, and regulatory compliance.

The typical hiring range for this position is $80,000 - $90,000 annually complemented by a bonus plan; the base pay is determined by market location and job-related knowledge, skills, experience, and education.

The Role
We are seeking a detail-oriented and operationally savvy Trip Support Specialist to join our Flight Operations team. This role is pivotal in ensuring the safety, efficiency, and logistical success of our fleet trips. You will collaborate closely with the Executive Assistant group, flight crews, and the Aircraft Travel Coordinator to support trip planning, flight following, and regulatory compliance.
- Pre-Trip Coordination: From destination research to scheduling and regulatory alignment.
- Flight Planning: Creating operational and test flight plans, managing air traffic control filings, assessing routing and fuel efficiency.
- Permits & Compliance: Handling overflight, landing permits, customs, and international requirements.
- Crew & Ground Support: Booking hotels, coordinating services like catering, fueling, cleaning, and transport.
- Weather & Safety: Monitoring forecasts, briefing crews on NOTAMs, supporting emergency protocols.
- Flight Monitoring: Real-time tracking of aircraft and updating stakeholders as needed.
- Work Schedule: This role is not your typical Monday–Friday, 9 AM–5 PM. Due to the dynamic nature of flight operations, you must be willing to work flexible hours, including early mornings, evenings, and occasional weekends. The ability to adapt to changing schedules and respond to time-sensitive trip requirements is essential for success in this position.
- 2 + years relevant experience including a strong operational background, significant technical knowledge and prior operations experience.
- Experience in Corporate Aviation and Trip Support processes.
- Experience working with flight planning and flight scheduling software.
- Demonstrated strong effective communication in English, influencing and organizational skills.
- Competency in computer-based office/MS systems.
- Working knowledge of applicable aviation regulatory requirements
- Demonstrates knowledge of the content of the Flight Operations Manual, training manuals, Standard Operating Procedures
- Has strong operational instincts and can anticipate trip challenges before they arise.
- Is proactive and responsive, especially in coordinating with vendors and managing last-minute changes.
- Brings corporate aviation experience, ideally with exposure to international trip support and regulatory environments.
- Demonstrates excellent communication skills, particularly in briefing crews and liaising with internal stakeholders.
- Is comfortable with flight planning software and understands the nuances of routing, fuel efficiency, and ATC filings
