Responsibilities


The Program Coordinator is responsible for supporting the effective and efficient administration, financial, and logistical functions of the courses and laboratory sessions within the Department of Computer Science. The role contributes to ongoing refinement of administrative processes and procedures, creates and distributes various complex examination schedules using specialized software, creates, maintains and updates specialized departmental databases, generates data and reports for review, coordinates outreach and recruitment activities and events, maintains and updates program websites, provides support for laboratory upgrades and assists with processing various financial transactions as required. The Program Coordinator will also act as a resource for faculty members and instructors with the day-to-day administration of courses and laboratory sessions, assisting with the resolution of issues and providing guidance regarding Faculty/Program, and University procedures in response to inquiries, providing referrals to other individuals or resources as required. The role will also facilitate the Computer Science Department Undergraduate Awards process, including managing student award submissions, interfacing with the Registrar’s Office, and managing student interviews and award notifications.

Qualifications


Education:

  • 3 year University Degree in Business Management/Administration or related field
  • University Degree in Computer Science preferred

Experience:

  • 4 years of experience providing financial and administrative support and project coordination in an academic environment
  • Experience coordinating logistics of specialized courses and laboratories
  • Experience coordinating academic outreach activities is preferred

Knowledge, Skills & Abilities:

  • Familiarity with social media platforms relevant to student populations
  • Ability to plan and coordinate events of various sizes; familiarity with large scale events an asset
  • Ability to ensure expenditures and resources are within allotments, and to make appropriate modifications as required
  • Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
  • Self-driven, independent, resourceful and innovative thinker who is highly motivated to successfully complete work assignments
  • Ability to apply active listening to hear and understand the complete message being communicated

  • Intermediate proficiency required in Microsoft Office in order to prepare emails, correspondence, announcements, and to input data into spreadsheets and databases
  • Familiarity with software applications used by Western preferred – e.g. Brightspace, Cascade, PeopleSoft HE, PeopleSoft Financials, specialized scheduling software
  • Familiarity with academic calendar and programs offered at Western preferred
  • Familiarity with Western policies and guidelines preferred
