The Receptionist/Facilities Coordinator plays a key role in the day-to-day office administration and workplace facilities for Solace’s headquarters in Kanata, Ontario.
This position is a Temporary-part-time role on a 6+ month term for 3 days per week.

Overview
The Receptionist/Facilities Coordinator plays a key role in the day-to-day office administration and workplace facilities for Solace’s headquarters in Kanata, Ontario.
This position is a Temporary-part-time role on a 6+ month term for 3 days per week.
Responsibilities
- Manages the office experience at our Solace headquarters for staff and visitors
- Brings energy and enthusiasm to the workplace by supporting staff and visitors in a friendly manner, and comes up with creative solutions to make the office environment fun and organized
- Acts as the point of contact for all office related questions and inquiries with staff and customers
- Coordinates major workstation reconfiguration, moves and construction projects of the office space. This includes supervising and coordinating the work of contractors, scheduling move times with clients, etc.
- Research, propose and implement new office solutions that will improve the office experience
- Ensures the kitchens are well stocked with supplies; organizes cleaning schedule for kitchen as required
- Liaises with the landlord to coordinate building maintenance and report deficiencies (e.g., cleaning, lighting, and temperature issues)
- Installs small accessories (i.e., whiteboards, load bars) and moves small items of furniture
- Arranges for maintenance and repair of office equipment and furniture as required
- Maintains floor plans and ensures workstation information is accurate and up to date.
- Manages office supply inventory with vendors, including office furniture and supplies, convection, and coffee orders
- Coordinates cleaning schedule with landlord and cleaners
- Coordinates, attends, and takes minutes for Joint Health & Safety Committee meetings. Actions requests or recommendations following each meeting
- Performs duties of the fire warden during fire drills and emergencies
- Conducts quarterly Health & Safety inspections. Follows up with issues identified during monthly inspections.
- Participates in team meetings, cross-departmental meetings, and working groups as required
- Works in conjunction with the Human Resources team to support a positive employee experience at Solace
- Performs other related administrative duties as required, including managing purchase orders
- Minimum 2-year college diploma in a related field (Business Administration, Interior Design, etc.) and/or equivalent experience
- 2+ years experience in a facilities-related and/or administrative role in a professional office environment
- Comfortable working with vendors and researching office solutions
- Flexible and willing to GSD (get stuff done!)
- Strong multitasking and organizational skills
- Ability to perform well under pressure and to work with tight deadlines and changing priorities
- Proficient in various office applications including MS Outlook, MS Office Suite, and Internet browsers
- Ability to perform occasional periods of lifting objects weighing up to 20 lbs. receiving and delivering goods and maintaining the storage room
- Health & Safety Certification would be an asset
