The People & Systems Team Lead provides guidance to the Canucks Sports & Entertainment Staff Services team who support the 3000+ event staff working at Rogers Arena. Areas of oversight include: systems administration, scheduling, human resources support, labour reporting, staff licensing compliance and wardrobe management. This role primarily oversees the day-to-day scheduling and staff services requirements for unionized and non-unionized event staff and will handle other HR responsibilities to support our event staff workforce.

- Lead the Staff Services unit (a team of 4) of the People Department, proactively and continuously exploring opportunities to improve service and support to event staff of Rogers Arena.
- Lead the centralized scheduling function for an event staff complement of over 3000 part time staff
- Oversee the company’s wardrobe process to ensure uniforms are adequately purchased, tracked, maintained and provide guidance to Interns who distribute uniforms each event
- Execute the monthly scheduling process for a small group of Hourly staff
- Prepare and present reports and analysis in deployments, labour costs, inventory etc. as required, and make recommendations for increased efficiency and cost savings
- Oversee medical accommodation process for hourly staff
- In collaboration with event staff departments and other People Department personnel, proactively maximize communication to staff through the employee self service function
- Serve as systems administrator for the ABI Mastermind scheduling system and ensure scheduling, rules are operating correctly and technical issues are quickly resolved
- Manage the administration of staff licensing and permit requirements, working with respective managers on applicable renewals (e.g. security, forklift licenses etc.)
- Run Statutory Holiday utility (when applicable) in ABI Mastermind following bi-weekly payroll cutoff
- Manage the monthly Seniority List process
- Follow payroll and scheduling guidelines as per the Collective Agreement and scheduling procedures
- Promptly respond to scheduling issues and provide support for union grievances brought forward for resolution and, when necessary, work with other members of the People Department and respective department Managers to resolve issues expeditiously while considering Collective Agreement ramifications and consistencies across departments
- Maintain strong lines of communications with other departments, promoting buy-in for Scheduling rules and guidelines
- Collaborate and support other members of the People Department where workloads require assistance.
- Monitor wardrobe inventory and budget proactively ensuring stock is at appropriate levels and order are made as required
- Manage final approval of timesheets, as required.
- Extensive, in-depth experience and a strong aptitude and interest in working with scheduling and/or HR databases is mandatory
- Minimum 3-5 years’ experience as an HR generalist with a related management degree/diploma
- Experience working in a unionized environment with a solid understanding of Collective Agreements
- Experience in and understanding of payroll practices and process is preferred
- Previous experience in a supervisory or team lead capacity is preferred
- A deep sense of care for premium level service to employees and to resolving issues in a timely manner
- Demonstrated ability to positively motivate and engage employees
- Working in a fast paced and time sensitive environment, this role requires effective leadership and communication with all staff classifications and department managers.
- Experience with labour/cost analysis and reporting
- Proficiency in MS Word, Excel, Power Point, Outlook, and Access
- Experience with the ABI Master Mind scheduling system is a plus
- Proven to perform well under pressure; manage multiple priorities simultaneously and a love for a fast paced team environment.
- A strong attention to detail and a high standard for accuracy
