This includes coordinating executive schedules, facilitating internal communications, supporting basic HR functions, and maintaining a well-organized and efficient workplace.
Key Responsibilities
Executive Support
- Manage executive calendars, schedule meetings, and coordinate logistics.
- Draft and prepare correspondence, reports, and documents.
- Organize travel and accommodations for leadership team members.
- Maintain confidential records and handle sensitive information with discretion.
- Provide agendas, meeting notes, and follow-up items for executive meetings.
- Assist with onboarding and offboarding of employees.
- Coordinate job postings, applicant scheduling, and interviews.
- Support benefits administration and maintain employee records.
- Prepare HR-related documentation such as offer letters and performance reviews.
- Ensure compliance with privacy and information protection standards.
- Oversee office supply inventory and liaise with vendors.
- Coordinate IT support and maintain equipment inventories.
- Organize internal events and staff meetings, including logistics and catering.
- Support digital communications including website updates and social media.
- Maintain organized systems for templates, policies, forms, and business documents.
- 5+ years of experience in executive administration or office management
- Diploma or certificate in Business Administration or a related field
- Excellent organizational, time management, and interpersonal skills
- Ability to handle confidential information with professionalism
- Proficient with office software and communication tools
- A professional and respectful work environment
