  • The primary pay rate is based on T4 classification; however, we will also consider applications from candidates interested in an INC classification, where applicable.

About The Role

We are seeking a highly skilled and experienced Senior Administrative Assistant to provide comprehensive support to our program leadership team. This role is pivotal in ensuring the smooth operation of our programs by managing administrative tasks, coordinating meetings, and supporting the training and change management team.

Key Responsibilities

  • Provide general administrative assistance to the program director, project directors, and managers.
  • Process expense reports for the program leadership team efficiently and accurately.
  • Manage travel arrangements for the program leadership team, ensuring all logistics are handled seamlessly.
  • Monitor and report on the completion of team safety training, ensuring compliance and readiness.
  • Attend key meetings to capture minutes and action items, summarize them for attendees, and track progress.
  • Assist in building agendas and collecting necessary materials for meetings as required.
  • Monitor emails and proactively manage the calendar for the program director, as well as calendar management for project directors.
  • Provide coordination support to the program training and change management team.

Must-Have Qualifications

  • 8-10+ years of administrative experience.
  • Expertise in MS Office applications.
  • Positive, proactive, and confident demeanor.
  • Systematic approach to organization.
  • Proven ability to manage senior leaders with significant time constraints and conflicting priorities.
  • Comfortable booking large meetings with multiple stakeholders.
  • Independent problem-solving skills.
  • Ability to manage external contractors.
  • Experience in booking travel.

Nice-to-Have Qualifications

  • Financial background (administrative).
  • Operations background.
  • Experience with major IT projects.
  • Experienced executive administrative assistant.
