Position Summary
The Rail Coordinator is responsible for managing and coordinating the daily operations of rail transportation activities to ensure efficient, timely, and safe movement of goods. This role serves as a liaison between internal teams, rail carriers, logistics providers, and customers to facilitate shipments, monitor railcar movement, and resolve service issues. The Rail Coordinator ensures compliance with transportation regulations, maintains accurate documentation, and supports continuous improvement initiatives related to rail logistics.

This role serves as a liaison between internal teams, rail carriers, logistics providers, and customers to facilitate shipments, monitor railcar movement, and resolve service issues. The Rail Coordinator ensures compliance with transportation regulations, maintains accurate documentation, and supports continuous improvement initiatives related to rail logistics.
Main Duties and Responsibilities
- Document all railcar shipments for each plant daily
- Create new PO for each railcar received
- Clear waybills in RSI ( External Rail car Tracking Software) with PO added for each shipment
- Communicate with MCA Supply Department as well as MCA Terminals to coordinate rail car movements to ensure car availability matches supply needs
- Keeping track of order changes with the refineries,
- Prepare all customs documents for rail shipments from US refineries to plant locations
- Tracking of all railcar movements for McAsphalt cars as well as Vendor cars to make sure the cars are moving
- Follow up with railway for any cars that are delayed/ maintenance ordered /service exceptions
- Coding invoices for CP and CN/ submit for payment
- Managing Invoice disputes /work with the plant managers to help with demurrage issues
- Preparing shop requests and documenting for all rail car maintenance when required to most cost-effective location
- Arranging of MRU (Mobile Repair Units) for rail car maintenance if applicable.
- Coding and approving all shop repairs and disputes if necessary
- Communication with Procor for all railcar maintenance related issues that arise
- Assisting MCA Terminal Managers with respect all rail car movements
- Obtain rail car movement rates from vendors and determine best value.
- Setting up patterns in CN/CP shipping /diversions/shop
- Reporting to manager on rail matters/ rail rates/ movements etc, as required
- Freight reconciliation and purchase invoices for all US destination loads (trucking)
- Updating rail car costing and volumes into the plants
- Other duties as assigned.
- Experience in logistics, transportation, or rail coordination preferred
- Strong organizational and communication skills
- Proficient with transportation management systems and MS Office Suite
- Ability to work in a fast-paced, detail-oriented environment
- Knowledge of rail carrier networks, operations, and regulations is an asset
- Self motivated
