Purpose:

The Clinical Administrator provides essential administrative support to the clinical team to ensure smooth and efficient day-to-day operations within a healthcare setting. This role involves managing patient records, coordinating schedules, handling communications, and ensuring compliance with healthcare regulations and policies

Job Responsibilities:

Patient Support and Coordination:
Schedule patient appointments, follow-up visits, and manage cancellations/reschedules.
Greet and check in patients, ensuring all required documentation is completed.
Maintain accurate patient records, including medical histories, treatment plans, and progress notes.
Provide patients with information about clinic policies, procedures, and available services.

Administrative Duties:
Manage clinical office supplies, ensuring all necessary materials are stocked and ordered in a timely manner.
Maintain and organize patient files in both physical and electronic formats, ensuring confidentiality and compliance with HIPAA or applicable privacy laws.
Prepare and submit billing, insurance claims, and patient invoices as required.
Handle incoming calls, emails, and patient inquiries, providing accurate and timely information or directing them to the appropriate team member.

Scheduling & Coordination:
Coordinate with physicians, nurses, and other healthcare staff to ensure seamless scheduling and patient care.
Assist in the preparation and setup of patient consultations and procedures, ensuring all necessary equipment, documentation, and personnel are available.

Compliance and Reporting:
Assist with regulatory compliance tasks, including auditing patient records, ensuring adherence to healthcare standards and procedures.
Ensure that all clinical documentation is accurate, complete, and processed on time.
Maintain up-to-date knowledge of healthcare regulations and standards.

Data Management:
Manage the input of clinical data into electronic Medical record (EMR) systems.
Help with the preparation and maintenance of clinical reports, patient progress, and departmental performance metrics.

Team Collaboration:
Work closely with the healthcare team to improve workflows and patient satisfaction.
Assist in the training of new staff or interns as required

Qualifications:

  • High school diploma or equivalent; Associate's degree or higher in healthcare administration or a related field preferred.
  • Experience working in a clinical or healthcare setting preferred.
  • Strong proficiency with electronic health Medical (EMR) systems and Microsoft Office Suite.
  • Knowledge of medical terminology and basic healthcare procedures.
  • Excellent organizational and multitasking skills with attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information.

Working Conditions:
  • Full-time position with standard office hours, though flexibility may be required.
  • Some evening or weekend work may be necessary depending on the clinic’s needs.

Physical Requirements:
  • Ability to sit or stand for long periods and perform repetitive tasks.
  • Must be able to occasionally lift up to 15 lbs of office supplies or equipment.
  • Assist with light cleaning of the clinic and workstations
