About YOU
We are seeking an organized and collaborative individual to join us in the role of Operations Coordinator. The successful candidate will work as part of a focused team to be responsible for supporting operations on all Number TEN projects.
Key Responsibilities:
- Report to Operations Manager.
- Create and maintain accurate master schedules for all projects within the firm. Work with all project managers, partners and the Operations manager to consistently update schedule, resourcing and fee information across the firm’s projects.
- Update master schedules on firm website monthly, or as requested by Operations Manager.
- Update visual project progress chart with information provided by Operations Manager.
- Prepare and distribute minutes for monthly departmental Operations meetings, and other meetings as requested by the Operations Manager.
- Work with project managers, Business Development Manager and Operations Manager to consistently update project information for historical reference.
- Assist the Operations Manager in preparing the monthly firm Project Update reports.
- Assist the Operations Manager in preparing monthly staff meeting documentation.
- Provide monthly project healthcheck reports to project managers.
- Create and maintain firm design and project management templates.
- Assist the Operations Manager to migrate all projects to Deltek Vantagepoint software.
Qualifications:
- Experience working within a team managing schedules.
- Relevant diploma or degree from a recognized college or university is an asset.
- Training in project management is a strong asset.
- Knowledge of the construction/design industry is an asset.
- Able to work in a fast-changing environment with many deadlines.
- Able to learn new software.
- Excellent communication (both written and verbal), collaboration and time management skills.
- Proficient in Microsoft Office (Word & Excel).
- Experience with Deltek is an asset.
- Familiarity with accounting software is an asset.
