The University is seeking applications from energetic and motivated individuals to join the Shipping & Receiving area in the new Faculty of Medicine building. This position requires an individual who is efficient in a multi-tasking work environment, and who has high levels of competencies in office-related computer technologies and all online UPEI systems, an ability to work independently, excellent analytical and planning abilities, strong motivation and sound interpersonal skills

RESPONSIBILITIES:

Provide core operational and administrative support for the shipping & receiving activities in the shipping & receiving area located in the Faculty of Medicine building. These core functions include:


  • Processing of all incoming and outgoing shipments
  • Processing of all incoming and outgoing mail
  • Receiving and handling all deliveries from carriers
  • Ensure sensitive goods are stored properly
  • Troubleshoot incomplete information on shipments to ensure all proper documentation is included for a safe and seamless delivery
  • Enter pertinent data for all incoming shipments into a computerized manifest system to ensure proper tracking
  • Arrange outgoing shipments with the most advantageous carrier
  • Responsible for tracking incoming and outgoing shipments and mail
  • Provide reports and statistics as required
  • Provide backup support to procurement services staff with the purchase order function, vendor creation and maintenance, credit card processing and reconciliations, customs clearance and inquiries
QUALIFICATIONS:
  • Post-secondary education in an administrative assistant program with two years related experience, or an equivalent combination of training and experience
  • Skills in office management and proficient in Microsoft Word, Excel, Moodle, E-Mail usage, myUPEI, Google docs, Internet searches and data management programs considered an important asset
  • Demonstrate superior customer service orientation and attention to detail
  • Strong time-management, organizational and interpersonal communication skills
  • Strong analytical and problem-solving abilities
  • Must be able to work independently and as part of a team
  • Ability to work with minimal supervision and establish priorities in a fast-paced multi-tasking environment
  • Able to maintain confidentiality and discretion
