Responsibilities and Tasks

All tasks are to be performed in compliance with GCP and Idorsia SOPs.

We are looking for an experienced, proactive, and team-oriented Coordinator – Events and Contracts to support our expanding team in the Canadian Head Office Affiliate. The successful candidate must be able to demonstrate flexibility in dealing with a wide range of activities/tasks and is comfortable working in a fast-paced environment.

Main Responsibilities Include:

  • Generating, monitoring, processing, storing and archiving of non-GxP documents for all teams.
  • Generating, monitoring, revising of purchase orders and exception forms for all teams and making sure that all necessary documents e.g., signed contracts are in place.
  • Ensure all relevant Idorsia systems/databases are kept up to date.
  • Ensure all activities are in line with regulatory, compliance and legal requirements.
  • As needed/requested, work on specific projects.
  • General support to the Marketing, Medical and Market Access team:
    • Coordination and support of all events, including but not limited to Other Learning Activities (“OLAs”), Sponsorships, Grants and Advisory Boards, through contracting, customer and stakeholder outreach related to travel, purchase orders, quotes/work orders, etc.
    • Coordination and support of internal/external meetings (e.g., National Sales Meetings, cycle meetings), business events, travel, hotel, vendor management and onsite implementation.
    • Support with our external service providers (marketing agencies, print shops, etc.).
    • Assistance with budget tracking.
    • General administrative leadership team:
    • Support Office Administrator
    • Coordination and administration of incoming/outgoing deliveries.
    • General administrative support to the Finance Team:
    • Support the creation of PO’s, processing payment requests, invoicing & invoicing problems, including direct contact with the suppliers.
    • Support in procurement activities, including vendor management.
    • General support to the Sales Team:
    • Organizing the shipment of marketing & event material to field representatives.
    • Assistance with questions regarding the use of internal tools e.g. Adobe Sign, Veeva CRM.
Required qualifiations and experience

  • Commercial education or similar.
  • Minimum of 2 years’ experience in an administrative and/or coordinator role in the Pharmaceutical /Biotech Industry.
  • Strong project management skills.
  • Effective verbal and written communication skills in English and French.
  • Computer skills including experience with MS Office tools.
  • Ability to prioritize and deal with changing priorities and workload.
  • Ability to work independently with high customer orientation and a pro-active approach to deliver high-quality results.
  • Strong internal and external stakeholder management skills.
  • Pragmatic attitude and ability to learn quickly.
