Key Responsibilities:

  • Reception Duties: Greet and assist visitors as they arrive, ensuring a warm and welcoming atmosphere.
  • Meeting Scheduling: Manage meeting bookings, cancellations, and rescheduling using our scheduling software.
  • Phone Management: Utilizing a multi-line system, answer and direct phone calls, take messages if needed, and provide information to callers.
  • Record Maintenance: Maintain and update appropriate records, ensuring accuracy and confidentiality.
  • Administrative Support: Assist with various administrative tasks, including filing, data entry, and correspondence.
  • Communication: Communicate effectively with employees of all levels, customers and visitors.
  • Office Maintenance: Ensure the reception area and lobby is clean, organized, and stocked with any necessary supplies.

Qualifications: Education Secondary School Diploma; Completion of a clerical or receptionist training program or equivalent prior work experience
Experience A minimum of two years recent experience as a Receptionist in an office setting
Other Skills and Abilities
  • Exceptional interpersonal skills and ability to work independently and as part of a team;
  • Demonstrated ability and competency with respect to keyboarding, Windows software, multi-line telephone systems and standard office equipment;
  • Ability to speak, read and write English fluently as well as French in Branch Offices that provide service to French-speaking clients;
  • strong commitment to continual learning.
