Reporting to the Patient Care Manger, DRCC Ambulatory Clinics, the Operations Coordinator is responsible for ensuring patient care services of the DRCC Ambulatory Clinics are delivered with high quality, safety, and consistency on a daily basis. In collaboration with the Patient Care Manager, the Operations Coordinator will participate in overseeing daily operations with the goal of quality patient-centred care and ensuring alignment with Lakeridge Health policies.

Duties And Responsibilities

  • Plans, organizes, leads, and oversees the daily operations of the Ambulatory Clinics to ensure patient-centred, timely, and efficient services.
  • Assists the manager with supervision of team members to maintain high-quality, patient-focused care.
  • Supports the development, implementation, and evaluation of patient care initiatives and projects.
  • Promotes a safe work environment and participates in the development of safe work practices and innovations.
  • Contributes to and provides feedback on staff performance appraisals and performance management as appropriate.
  • Assists in developing clinic and staffing schedules aligned with operational needs.
  • Works with the Patient Care Manager and Director to implement and evaluate operational plans based on program goals and objectives.
  • Manages resources effectively within budgetary considerations.
  • Facilitates team building, problem solving, and conflict resolution.
  • Collaborates effectively with the multidisciplinary team, including nurses, clerks, physicians, and administrative/leadership staff, to ensure seamless patient care and operational efficiency.
  • Liaises with internal and regional stakeholders to ensure cohesive service delivery.
  • Promotes excellence in customer service focusing on patient-centred care.
  • Participates in data collection, analysis, and reporting using tools like Microsoft Office, Teams, PowerBI, Epic, and other electronic systems to support operations and quality improvement.
  • Supports the Patient Care Manager on key programs and projects within the regional cancer program.

Qualifications

  • Baccalaureate degree in Health Sciences or Health Administration (required); Master's degree (preferred)
  • 3-5 years of experience in operations or project coordination with demonstrated ability to organize workflows, manage timelines, and collaborate effectively across teams (required);
  • Experience working in hospital and/or multi-disciplinary health care settings (preferred);
  • Experience working in an oncology setting (preferred);
  • Experience with Epic eMR (Electronic Medical Record) (preferred)
  • Strong organization skills with the ability to prioritize and delegate effectively;
  • Excellent interpersonal, communication, and conflict management abilities;
  • Demonstrated problem-solving, critical thinking, and analytical skills;
  • Project management and change management skills;
  • Flexibility, initiative, independent thinking, and ability to work in a self-directed manner within scope of responsibility;
  • Ability to quickly gain credibility and mentor others through professionalism and personal style;
  • High self-awareness with commitment to honest self-reflection and continuous improvement;
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and Microsoft Teams
  • Basic data analysis skills and ability to generate reports using tools like Excel and PowerBI
  • Ability to learn new software quickly, troubleshoot common technical issues, and support staff members with same.
