Job Summary: The Dispatcher Administrator plays a key role in supporting the Area Manager and Fleet Coordinator in the efficient and timely delivery of products by supporting the daily planning, scheduling, and dispatching of trucks to customer locations. This position works hand in hand with the Area Manager, coordinating driver schedules, managing equipment availability, and monitoring inventory levels to support accurate volume forecasting for AFD customers and cardlock locations. The Dispatcher Administrator works closely with drivers, the Fleet Coordinator, and other internal teams to maintain high standards of customer service and operational efficiency.
Your Schedule: Monday -Friday, 8:00 a.m. to 5:00 p.m. in the office. Some overtime and after-hours work may be required.

What you will do day-to-day:
Dispatch
- Support Fleet Coordinator in Scheduling fuel deliveries/purchases (bulk, home heat, cardlock, wholesale).
- Building trips, ensuring any credit releases are completed before delivery.
- Trip closure: the next day from delivery.
- Ensuring quality and completion of all paperwork from drivers.
- Support Driver scheduling: ensure adequate coverage.
- Supporting the Administration in building and maintaining a master load pattern list for all branch units.
- Insuring drivers are following AFD procedures for safe and efficient operation.
- Support the Administration of the fuel reconciliation spreadsheet, submitting as per schedule to Logistics Manager / Area Manager.
- Support fuel-dyed inventory.
- Data Entry.
- Other related duties as required or assigned.
Trucking Compliance
- Work with Fleet Coordinator & Area Manager to ensure vehicle registration, insurance, permits, and inspections are valid.
- Support administering USDOT regulations (FAST Cards, Plates, Transponders).
- Keeping all branch unit files up to date.
Maintenance Coordination
- Collection of DVIR from drivers and relaying to maintenance.
- Support scheduling repairs with the Shop and external vendors.
- Administration of tanks daily for all fuel inventory locations as necessary.
- Administration of closing dips at the month-end.
- Support the administration of the completion of the month-end fuel inventory report.
- Support administration of fuel inventory minimums and maximums.
- Any inventory variances must be reported daily to the Area Manager.
Office and Yard Duties
- Assist in answering phone calls and customer service duties
Other skills and knowledge:
- Experience working in the fuel, transportation, or oil and gas industry is considered an asset.
- Advanced knowledge of MS Word, Excel, PowerPoint, and e-mail required.
- Professional written and verbal communication skills.
What you need to succeed:
1+ years’ experience in dispatch dispatch-related position
High School Diploma required
