This position’s key area of responsibility is to provide support to the Property Manager in conducting their mandated duties in support of tenant relations and property management functions.

What You’ll Be Doing

  • Assist with the rent relief process, providing statements, mailing correspondence etc.
  • Assist with the AR process by providing statements, collection letters, default letters
  • Leasing of storage spaces.
  • Assist Managers during the budget process and printing of reports.
  • Manage the billing process for fees (Cap-Ex, Leasing, Specialty Leasing).
  • Administration of assignments, transfers and subleases
  • Support and monitor manager’s projects and assist in various tasks (scheduling, budgeting, action plan creation, strategic planning for the office, event reservations, team meeting planning, special projects, etc.).
  • Provide support to the Manager, Specialty Leasing by assisting with TOA’s, updating spreadsheets, assisting with reporting and contract administration. Assist with rent collection, insurance certificates and area certificates.
  • Properly manage digital and print documents: filing, archiving, folder structures, etc.
  • Prepare and review various documents.
  • An active participant of the property Health and Safety Committee; works with various parties as it relates to insurance claims.
  • Establish and maintain professional working relationship with tenants, vendors, building security, cleaners, and various contractors to ensure smooth operation of the Property
  • Assist Property Manager on tenant relations functions and monthly/quarterly reporting requirements
  • Assist in maintaining property-specific emergency procedures and make periodic updates to the Tenant Handbook
  • Maintain tenant accounts to ensure that they are properly set up, certificate of insurance is compliant, contacts are maintained, charges processed, credits applied, and collection of outstanding arrears are managed on a timely basis
  • Responsible for the negotiation and administration of the tenant storage leasing program
  • Maintain familiarity of existing tenant exclusives and kiosk restriction zones.
  • Draft and distribute tenant memos.
  • Other duties and responsibilities as assigned

What We’re Looking For

  • Post-secondary diploma preferable, but a combination of education and work experience with an AR focus will be considered.
  • 3-5 years of experience in the commercial real estate industry
  • Excellent proficiency with PC, Microsoft Office programs, specifically with Microsoft Word, Excel and Outlook.
  • Knowledge of real estate accounting software is an asset
  • Comfortable working in a fast paced, highly dynamic work environment; exceptional organizational, time management, oral and written communication skills
  • Proven ability to work independently, be flexible, prioritize and deal with multiple tasks; proactively and effectively establish priorities and have a positive attitude
  • Ability to perform under pressure within tight deadlines.
