This role supports the modernization and automation of our data lifecycle management program. The role has multiple responsibilities to prepare the firm to adopt and automate electronic information management and update business processes and policies to govern data and records appropriately and help our practitioners manage their information to serve their clients.
The role reports to the Senior Manager of Privacy and Information Governance and works closely with Data Governance, Legal, Privacy and Information Technology teams. The role acts as a trusted advisor to Colleagues with traditional paper records management responsibilities, and with stakeholders across the organization on lifecycle management issues impacting the governance of our data and electronic information.
As a part of the team, this role may have some responsibility to provide back up for the Privacy Office function, and as such interested candidates who also have privacy experience may be preferred.
As an Information Governance Program Manager your responsibilities will include:- Establishing guiding principles, and policies for data lifecycle management and information management in all formats
- Modernizing and maintaining software-ready retention schedules for the enterprise, and applying them to electronic data lifecycles in our processes, systems, and data stores
- Working with stakeholders to transform business processes and ensure the execution of effective management of electronic records and data across the full lifecycle
- Finalizing business input into the Common Folder Structure design that will standardize how information is stored and managed throughout the enterprise
- Developing and implementing a File Plan for the enterprise
- Providing guidance to data stewards for the effective implementation of retention policies and File Plans, including providing advice and support to Business Unit projects to migrate electronic records to the Common Folder Structure
- Championing and playing a lead role to identify and define EDRMS requirements and software solutions for data lifecycle management
- Working with IT, Data Governance, Privacy Office and other stakeholders to evaluate and recommend an EDRMS solution for the firm
- Participating in the analysis of data and records migration activities for preliminary/preparatory content clean up
- Training, coaching and educating data and records stewards across all areas of the business who are responsible for effective execution of the data lifecycle and information management objectives
- Provide information governance support to the privacy office in the completion of compliance activities such as privacy impact assessments and compliance monitoring by evaluating retention and data lifecycle management aspects of technology processes.
- Acting as advisor to stakeholders to facilitate effective integration of newly acquired firms with different information management practices
- Managing program KPIs and reporting to leadership and key stakeholders on the effectiveness of the data lifecycle management program
- Fostering an enterprise-wide commitment to responsible data lifecycle management through data stewardship communities, file coordinators
- Familiarity with privacy program processes, and performing back up duties for the Privacy Office, as needed
- Other data lifecycle management or records management duties, as required

Think you’ve got what it takes to be an Information Governance Program Manager? Like the colour purple? Great. Here's a few more boxes we’re also hoping you can tick:- Degree in Library and Information Sciences, Information Management or another related field
- CRM designation, or similar professional certification desirable
- An interest in privacy and IAPP privacy certification (CIPP/C) highly desirable
- 5+ years of work experience in information, data management or other similar roles. Experience in a professional services firm an asset
- Demonstrated experience with developing and implementing software-ready retention schedules
- Demonstrated experience preparing for. implementing and managing electronic records management technology solutions (EDRMS tools, e.g. OpenText CRM, SharePoint Online, etc.)
- Demonstrated experience in creating and executing a File Plan
- Experience developing information management policy and executing effective organizational change
- Experience working with information management and M365 governance in the cloud, SharePoint Online, and other RM software solutions
- Data literate with ability to understand metadata and other technical requirements, and communicate effectively with data governance, IT and business stakeholders
- Strong analytical and problem-solving skills
- Excellent communication and presentation skills both in person and virtually
- Executive and professional presence
- Ability to influence people and effect change across a large, diverse organization
- Strong proficiency with M365 tools (Excel, SharePoint Online, PowerPoint, Word MS Teams)
