- Act as the go-to person for all operational needs in the Toronto office, making sure everything runs smoothly each day and resolving any issues quickly and efficiently.
- Keep the office fully stocked by monitoring supplies, hospitality items, and technology equipment, coordinating timely orders so nothing is ever missing.
- Champion a tidy, safe, and welcoming workspace by managing relationships with vendors for maintenance and facility services.
- Deliver a warm welcome to guests at reception, prepare meeting rooms for important gatherings, and coordinate logistics for both internal celebrations and external events.
- Keep CRM databases up-to-date by entering contacts accurately, cleaning data regularly, performing mass uploads, and generating insightful reports when needed.
- Support marketing and sales teams with lead management activities such as event preparation, campaign assistance, contract processing, and documentation tracking to ensure everything stays compliant.
- Take charge of logistics during office moves by scheduling vendors, planning packing strategies, overseeing IT setup, and helping with lease administration tasks like renewal tracking.
- Provide friendly first-line IT troubleshooting for office equipment including printers and meeting room technology while connecting with internal or third-party support if needed.
- Set up tech stations for new hires by installing software and managing system access in partnership with IT teams so everyone starts off on the right foot.
- Collaborate enthusiastically with operations colleagues in New York, Austin, and Toronto to align processes across locations while joining forces on shared projects like events or cultural initiatives.
- At least two years’ experience in office or administrative roles where your reliability has shone through as you handled diverse operational tasks with care.
- Outstanding organisational skills that allow you to juggle multiple priorities at once while always delivering accurate results.
- Clear written and verbal communication skills that help you connect easily with colleagues at all levels as well as external partners.
- Confident use of Microsoft Office Suite (Word, Excel, PowerPoint) alongside Google Workspace tools so you can create documents efficiently and collaborate seamlessly.
- A helpful approach to basic IT troubleshooting—like setting up printers or fixing network connections—to keep things running smoothly for everyone.
